About the role

This position combines administrative support with an understanding of technology and security. This role provides support for the CIO/CISO and IT Directors, managing schedules, coordinating meetings, handling administrative tasks, vendor interactions, IT budget analysis/vendor ordering/invoicing. Responsible for handling confidential and time sensitive material.  Preparing or proofing executive level presentations, correspondence, and reports. 

  • Manages daily schedule and coordinates meetings.
  • Prepares and manages meeting agendas, other meeting materials, and captures meeting minutes.
  • Manages travel arranges, and prepares itinerary, completes business expenses. 
  • Performs administrative duties to include correspondence, memos, reports and other related support functions as required, including transcription of meeting notes, reports, etc. 
  • Attends meetings as requested and keeps executive appraised of progress/status of internal projects, staff, office, and routine operations. 
  • Financial analysis on IT budget vs actuals, investigate expenses, coordinate with finance/ accounting team to ensure accuracy and completeness of IT financial reporting
  • Reviews of vendor invoices and agreements to ensure they are aligned
  • Communicate policies, objectives and operational procedures to the department as necessary. 
  • Processes mail, answers telephone calls, directs messages to appropriate areas and responds to requests. 
  • Assist in building a stronger Department that aligns to the CNB Mission and Values
  • Aligns resources to execute administrative “best in class” industry standards. 
  • Manages the IT office environment and works with building/office management to resolve issues.
  • May lead and/or guide the work of other employees.
  • On call 24x7 in the event of an IT/Security or department issue
  • Ability to travel to the surrounding area and perform work in a climate-controlled office setting in multiple locations.
  • Performs other job-related duties as assigned. 

•    Associate’s degree and five plus (5+) years of previous executive administrative or office manager experience or an equivalent combination of education and experience.
•    Strong organizational skills with ability to manage multiple priories, meet deadlines, and remain organized
•    Technical Proficiency with strong knowledge of O365 products and excellent knowledge of Excel 
•    Demonstrated experience to analyze data, identify trends, and provide recommendations specifically related to IT financials
•    Excellent written and verbal communication and presentation skills. 
•    Excellent attention to detail, planning and organizational awareness skills. 
•    Excellent interpersonal skills including the ability to interact with employees, vendors, and customers of various levels and backgrounds. 
•    Ability to handle confidential and sensitive information.
•    Strong problem-solving and critical-thinking abilities
•    Flexibility and adaptability to changing priorities and deadlines
•    Ability to work independently and collaboratively in a fast-paced environment
•    Experience in project coordination and small project management, preferred
