OVERVIEW OF THE ROLE:
We are seeking a highly experienced and strategic Executive Operations Coordinator to support senior leadership and help drive operational excellence across the organization. This role serves as a trusted partner to the President and Vice President, ensuring priorities are coordinated, commitments are tracked, and leadership initiatives are executed effectively. The successful candidate will bring a proven track record of supporting executive-level leaders, exceptional organizational and analytical capabilities, and the ability to operate with a high degree of professionalism, discretion, and autonomy in a fast-paced environment.
WHAT YOU'LL BE DOING IN THE ROLE:
• Manage and coordinate complex calendars for the President and Vice President, ensuring effective prioritization of meetings, commitments, and business objectives
• Organize and facilitate leadership meetings, including scheduling, preparation of materials, documentation of outcomes, and follow-up activities
• Track action items arising from leadership discussions and drive accountability for deliverables across the organization
• Maintain accurate and up-to-date information within Salesforce to support operational effectiveness, forecasting, and reporting
• Prepare pipeline review materials and executive reporting packages for leadership discussions and decision-making
• Follow up with directors and other senior stakeholders to monitor progress on commitments, priorities, and key initiatives
• Develop and maintain executive dashboards to provide visibility into business performance, operational metrics, and strategic priorities
• Support quarterly planning activities, reporting processes, and organizational reviews
• Collaborate with team members to troubleshoot issues, improve existing solutions, and support ongoing AI enablement initiatives
WHAT SKILLS/QUALIFICATIONS YOU'LL NEED:
• Significant experience supporting C-suite executives, senior leaders, or executive management teams in a complex business environment
• Demonstrated ability to operate as a trusted advisor and partner to senior leadership
• Exceptional organizational, planning, and time-management skills with the ability to manage multiple high-priority initiatives simultaneously
• Strong business acumen and the ability to understand and align with organizational priorities
• Excellent communication and stakeholder management skills, with the confidence to engage effectively at all levels of the organization
• Experience driving follow-through and accountability across leadership teams and business functions
• Advanced proficiency with Salesforce and Microsoft Office applications, particularly Excel and PowerPoint
• Experience developing executive dashboards, reports, and presentation materials for senior leadership audiences
• Strong attention to detail, sound judgment, and a commitment to maintaining confidentiality
• Ability to work independently, anticipate needs, and proactively identify opportunities to improve operational effectiveness
