Boeing Information Digital Technology & Security (IDT&S) is currently seeking an Executive Office Administrator (EOA) in Ridley Park, PA or North Charleston, SC to support executives within the Enterprise AI & Data (EAI&D) organization.

The successful candidate will support the Enterprise AI & Data (EAI&D) Leadership Team by managing calendars for 3 directors; coordinating domestic travel and reconciling expenses reports; prioritizing meetings to support the rhythm of business; coordinating with other senior executive offices across Boeing; scheduling conference rooms and coordinating meeting logistics; coordinating internal and external event logistics; handling procurement invoices and other responsibilities to support the group.

The EOA will work in a fast paced and dynamic environment and must have strong interpersonal, organizational, collaborative, and time management skills.

Position Responsibilities:

  • Prioritizes actions and proactively anticipates needs and flow of the business to ensure a smooth operating rhythm with the assigned Directors

  • Schedules meetings, and as directed critically emergent meetings with short notice

  • Uses judgement and understanding of business to prioritize leader calendars

  • Coordinates and processes domestic and international business travel arrangements, monitors travel logistics, generates expense reports, provides visibility of report status, and assists in reconciling corporate credit card charges and verifying payments to ensure timely and accurate reimbursement

  • Tracks and maintains information relevant to organizational operations and schedules which may include staff meeting notes and action items

  • Plans and implements logistics for senior executive-level internal and external events

  • Processes and screens incoming and outgoing communications to ensure proper dissemination of information

  • Communicates a wide variety of information with multiple audiences, both verbally and in writing

  • Tracks and maintains designated conference room schedules for availability and efficient use of resources

  • Coordinates with the appropriate focal(s) to support the acquisition and maintenance of resources, such as office supplies

  • Assists with onboarding of contractors and employees in support of organizational needs

Basic Qualifications (Required Skills/Experience):

  • 3+ years of experience as an Office Administrator supporting an Executive Leader

  • 3+ years of experience providing administrative support to multiple customers such as executives, managers, and staff members

  • 3+ years of experience managing executive schedules and calendars using Microsoft Outlook across multiple time zones

  • 3+ years of experience supporting and engaging with executives and their leadership teams to coordinate priority needs, support internal and external events, and provide effective travel arrangements

  • 3+ years of experience with Microsoft Word, Excel, Outlook, and PowerPoint

Preferred Qualifications (Desired Skills/Experience):

  • Bachelor’s degree or higher

  • 3+ years of experience in coordinating and processing travel arrangements, generating expense reports and reconciling corporate credit card charges

  • 3+ years of experience in a role which required strong interpersonal and communication skills

  • Experience leveraging technology and business applications to manage and interpret data relevant to responsibilities for problem identification and resolution

  • Experience using collaboration tools (e.g., Microsoft Teams)

  • Experience building positive relationships with peers and leaders, collaborating effectively, and communicating clearly

  • Experience acting as a liaison between executives and their support staff to ensure proper coordination and communication
