Key Responsibilities
- Provide exceptional administrative support by proactively addressing leadership needs, including managing calendars, resolving scheduling conflicts, prioritizing time-sensitive tasks, and troubleshooting logistics related to meetings, travel, and office operations.
- Manage all aspects of domestic and international business travel, including detailed itineraries, troubleshooting conflicts, arranging visitor offices, and coordinating office support at satellite locations.
- Process executive expense reports in compliance with internal policies, ensuring timely and accurate submission.
- Act as the primary point of contact for department distribution lists, ensuring smooth operations and effective information sharing.
- Oversee departmental time tracking process, ensuring compliance with departmental time tracking. Provide support in addressing discrepancies and reinforcing best practices.
- Assist with organizing departmental and site events as needed, coordinating logistics, scheduling, and communication to ensure successful execution and engagement.
- Plan, coordinate, and execute meetings, conferences, and special events (virtual and in-person), including handling logistics e.g., venue bookings, catering, and materials preparation.
- Collaborate with cross-functional teams (Facilities, Operations, IT, Legal, etc.) to ensure seamless project execution and operational effectiveness.
- Interface with senior management, employees, and external vendors, ensuring clear communication and efficient follow-up.
- Greet and assist visitors of the MoCR LT, maintaining a professional and welcoming environment while supporting various administrative needs.
- Take initiative and manage special projects as requested, demonstrating flexibility and problem solving.
- Handle confidential and sensitive information with discretion and professionalism, ensuring strict confidentiality on business plans, personnel matters, and financial data.
Qualifications & Experience
- Minimum of 5 years of experience as an Executive Assistant or in a similar role supporting senior leadership.
- Bachelor’s degree in Business Administration, Communications, or a related field preferred.
- Proven expertise in managing complex administrative tasks, including calendar management, meeting coordination, and travel arrangements.
- Exceptional verbal and written communication skills, with the ability to interact effectively with executives and internal/external stakeholders.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools such as MS Teams and SharePoint.
- Strong organizational skills and the ability to manage multiple priorities and deadlines in a fast-paced environment.
- Demonstrated ability to organize and coordinate events, meetings, and travel with attention to detail.
- Ability to handle sensitive information with discretion and professionalism.
- Excellent interpersonal skills, with a talent for building positive relationships and navigating complex situations diplomatically.
- Skilled in managing both routine and non-routine tasks, prioritizing time-sensitive items, and keeping projects on track to meet deadlines.
