The Role:
The Executive Assistant will support the Executive Leadership and Research and Development teams, including Discovery, Clinical, and Development functions. Reporting to the Sr. Manager, Operations and Administration, this position provides the opportunity to make a meaningful impact on the company’s future, while ensuring a collaborative, cohesive, and fun workplace experience. The ideal candidate will have a customer service mindset, ability to prioritize and multitask, identify and oversee resolution of process gaps, keen attention to detail, and a desire to contribute to the overall mission of Nuvalent.
Responsibilities:
- Executive Leadership and R&D teams support inclusive of the following activities:
- Actively manage multiple executives’ calendars, proactively prioritizing meetings and resolving conflicts in a timely manner
- Schedule internal and external meetings with key stakeholders and coordinate social events, including organizing meeting space, A/V equipment, and working with caterers
- Coordinate extensive domestic and international travel in alignment with our T&E policy as well as support monthly reconciliation of business expenses and submission of expense reports
- Manage conference and event coordination including registrations, meeting planning, and information tracking
- Complete ad hoc requests such as assisting with abstract submissions, conducting journal article searches, non-scientific document QC, and routing documents for signature
- Serve as an integral member of the Nuvalent administrative team, ensuring that all of Nuvalent’s administrative needs are met and providing cross-coverage and back-up support
- Provide support to coordinate internal team activities, culture/values building opportunities as well as both virtual/on-site social events
- Assist with managing Company-wide communications, data and information across multiple platforms (email, video, Egnyte, Teams, etc.) and ability to prepare slides and templates, as needed
- Handle confidential and sensitive information and communication with all levels of management in a professional and discrete manner
- Provide office management support, including welcoming visitors and setting up conference rooms
- Assist with various other administrative activities, as needed

Qualifications:
- 4+ years of executive administrative experience supporting Executive Management and other top-level management in biotech; experience supporting clinical/ R&D teams preferred
- Excellent oral communication and written communication skills
- Experience in a fast-paced, fluid, and dynamic environment
- Responsive and proactive, with the ability to work well under tight deadlines and to respond to rapidly changing demands and priorities from multiple business owners to ensure on time delivery
- Strong organizational, analytical, customer service, and problem-solving skills that reflect ability to perform and prioritize multiple tasks independently and seamlessly with excellent attention to detail as well as with good judgement
- Handle confidential information and communication appropriately
- Superior calendaring skills
- High-level computer skills, in particular with the MS Office suite (Word, PowerPoint, Excel, Access); experience working with DocuSign, Veeva, and file sharing products like Sharepoint, Egnyte, etc. a plus
- Ability to work independently and to be resourceful with minimal supervision
- Willing to take on additional tasks and responsibilities to ensure Nuvalent runs smoothly
