The JW Residences occupy the remaining 16 floors. What will you be doing?
The Executive Assistant serves as the primary liaison between Hotel Ownership (Comstock and ParkX) and hotel leadership, providing confidential, high-level administrative and operational support to the Managing Director and Hotel Manager while facilitating effective communication and coordination across stakeholders.
The ideal candidate is highly organized, discreet, proactive, and capable of managing multiple priorities in a fast-paced luxury hospitality environment. This position plays a critical role in ensuring the Executive Office operates efficiently while maintaining the highest standards of professionalism and confidentiality.
ESSENTIAL JOB FUNCTIONS:
- Serve as the main point of contact for hotel ownership, managing tasks, updates, and reporting
- Represent Hotel Manager and Managing Director in meetings, calls, and presentations
- Coordinate with department heads to execute key projects and owner priorities
- Prepare reports, briefings, and presentations for ownership and executive leadership
- Support strategic initiatives and special projects across the hotel
- Prepare briefing documents, agendas, and meeting materials.
- Draft professional correspondence, presentations, and reports on behalf of executive leadership.
- Maintain confidential files and sensitive information with the highest level of discretion.
- Organize and coordinate executive meetings, leadership meetings, and ownership meetings.
- Prepare meeting agendas and record minutes with follow-up action items.
- Assist with planning internal events, leadership retreats, and executive visits.
- Coordinate communication with ownership groups, corporate offices, and external partners.
- Ensure timely follow-up on leadership requests and departmental action items.
- Maintain office supplies, records, and administrative systems for the Executive Office.
- Assist with onboarding logistics for senior leaders and VIP visitors.
- Assist with special projects, initiatives, and strategic priorities as directed by the Complex Managing Director or Hotel Manager.
- Track project timelines and deliverables across departments.
- Support cross-departmental collaboration and operational efficiency.
Qualifications
- 3+ years of experience in executive support or hospitality operations
- Strong presentation, communication, and interpersonal skills
- Comfortable speaking on behalf of leadership and managing owner relationships
- Highly organized with the ability to manage multiple priorities
Preferred
- Experience working with hotel ownership groups
- Bachelor’s degree in Hospitality, Business, or related field
REQUIRED SKILLS AND ABILITIES:
Must have the ability to communicate in English.
