JOB DESCRIPTION SUMMARY
The Executive Assistant is responsible for providing support to upper-level executive staff; typing and/or drafting correspondence and outgoing mailings; assisting with assembling and compiling annual department budget; ordering supplies; preparing and tracking confidential reports; maintaining calendars and schedules; making travel arrangements; answering and screening incoming calls and emails, routing individuals to appropriate personnel.
JOB DESCRIPTION DETAILS
- Support to upper-level executives and other department managers (M5): maintaining their calendars; coordinates, arranges meetings and conference calls; arranges for conference/meeting room setup
- Make domestic and international travel arrangements utilizing a variety of methods to secure the best arrangement at the best price for airline tickets, hotel rooms and car rentals
- Extensive coordination and scheduling of internal and external meetings (conference calls/video conference), including catering arrangements
- Prioritize Outlook calendar items on behalf of professionals, informing them of meeting changes and keeping them on schedule throughout the day
- Coordinate set up and clean up conference rooms for catered meetings
- Coordinate all aspects of domestic and international travel (air, ground, and lodging); manage expenses and itinerary changes
- Maintain professionalism and strict confidentiality with all materials
- Register professionals for conferences and networking events in a timely manner
- Provide back-up support to other administrative team members
- Miscellaneous projects and support leverage for professionals as needed, including event management which may require occasional travel
- Serve as secondary support if needed
- Performs other duties as required and/or assigned
- May be required to travel up to 30% of the time.
REQUIRED QUALIFICATIONS
Knowledge, Skills and Abilities
- High degree of efficiency and knowledge utilizing computer programs including but not limited to Microsoft Word, Excel and Outlook, SAP, PowerPoint, Internet, etc.
- Expert level written and verbal communication skills with the ability to communicate with all levels of the organization
- Excellent customer service skills
- Ability to research and prepare reports
- Must be able to maintain the highest level of confidentiality with the ability to handle sensitive material concerning the organization and the executive's role within the organization.
- Ability to use discretion and good sound judgment
- Ability to work without significant guidance.
- Ability to interface well with all departments within the company and to represent the respective upper level executive officer in a highly professional manner
- Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines
- Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands while meeting designated deadlines
Education, Certification/License & Work Experience
- 5 years of related work experience in an upper-level executive administrative role
- Experience supporting C level managers preferred
Equivalent combinations of education and experience may be considered.
Total Rewards Package
Compensation
- Base: $55,048 to $72,336 annually, based on specific compensable factors including, but not limited to education, work experience, and geographic market.
- Bonus: This role will be eligible for participation in a discretionary annual bonus program, pursuant to which an employee
