About the role
The Executive Assistant plays a pivotal role in providing high-level administrative and operational support to the CEO and Executive Team. This position requires exceptional organizational skills, attention to detail, and discretion in managing sensitive information. The Executive Assistant acts as a trusted partner to the CEO and Executive Team, ensuring day-to-day activities of the office run efficiently and effectively.
Responsibilities
- Assist the CEO in various projects, research, and data analysis.
- Coordinate project-related activities and follow through on action plans.
- Handle administrative tasks such as record-keeping, filing, office management, and coordination of office services.
- Manage and maintain busy calendars for the executive team, scheduling appointments and meetings efficiently
- Arrange travel accommodations, including flights, accommodations, and transportation
- Prepare and organize documents, presentations, and reports for executive meetings
- Prepare and distribute meeting agendas, materials, and presentations.
- Attend meetings, take accurate minutes, and follow up on action items.
- Serve as the main point of contact for internal and external stakeholders, including clients, partners, and vendors
- Coordinate and prioritize incoming requests, ensuring prompt and effective responses
- Plan and coordinate team events, including meetings, conferences, and off-site retreats
- Assist with the coordination and execution of special projects and initiatives
- Confidentiality: Maintain strict confidentiality regarding sensitive information
Requirements
- Bachelor's degree in business administration, marketing, or a related field
- Proven experience as an executive assistant or similar role
- Excellent organizational and time management skills
- Strong attention to detail and ability to prioritize tasks
- Exceptional verbal and written communication skills
- Highly proficient in Microsoft Office suite (particularly Word and Excel)
- Ability to handle confidential information with discretion
- Strong problem-solving skills and ability to think critically
- Proactive and self-motivated with a strong sense of initiative
- Attention to detail and accuracy
- Tech-Savvy and ability to learn knew programs quickly
- Ability to work independently and as part of a team in a fast-paced environment
