About the role

What You Can Expect

As the Executive Assistant based in the Houston office, you will provide high-level administrative support directly to the CFO of the North American Region.  Every day you will provide support in a one-on-one working relationship for the CFO  and the finance and procurement teams. The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the CFO. The Executive Assistant also serves as liaison to the business units, other support functions and HQ in Paris.

 

  • Completes a broad variety of administrative tasks, including managing an extremely active calendar of appointments, completing expense reports, composing and preparing sometimes confidential correspondence, arranging complex and detailed international travel plans, itineraries, and agendas, and compiling documents for travel-related meetings
  • Plans, coordinates, and ensures the schedule is followed and respected. Serves as a “gatekeeper” and “gateway,” creating win-win situations for direct access to the CFO time and office
  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the CFO, including those of a sensitive or confidential nature. Determines the appropriate course of action, referral, or response
  • Provides a bridge for smooth communication between the CFO and internal departments, demonstrating leadership to maintain credibility, trust, and support with senior management staff
  • Works closely and effectively with the CFO to keep them informed of upcoming commitments and responsibilities, following up appropriately. Acts as a “barometer” with a sense of the issues taking place in the environment and keeps the CFO updated
  • Prioritizes conflicting needs, handles matters expeditiously and proactively, and follows through on projects to successful completion, often under deadline pressures
  • Organizes events, senior executives’ visits and seminars as needed for business requirements
  • Coordinates the Finance and Procurement Leadership Team meetings, including agendas, minutes and action items
  • Additional duties may be assigned by the CFO as needed

 

What You’ll Bring

  • You hold a High School Degree 
  • A minimum of seven (7) years of previous administrative experience with a minimum of five (5) years of experience supporting C-Level or senior level executives
  • Expert in Microsoft Office (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat, and Concur
  • Excellent communication skills in English. Spanish and/or French is a +
  • Excellent organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, and external partners.
  • Expert level written and verbal communications skills
  • Demonstrated proactive approaches to problem solving with strong decision making capability
  • Highly resourceful team player, with the ability to also be extremely effective independently and exercise good judgment
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrated the highest level of customer service and response
  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment
