About the role

Job Responsibilities:
• Provides secretarial and clerical support to chairman or executive management, including typing, composing, and proofreading correspondence. In providing this support is responsible for tasks that are at times sensitive and confidential in nature.
• Relays communication from the chairman or executive. Able to inform faculty and staff of the executive's position on issues when necessary.
• Follows up with staff on requests from chairman or executive staff when requested. Acts as a liaison between the executive and subordinates or others.
• Greets visitors, answers phones and transfers calls. Able to determine which are priority matters and alerts the executive accordingly.
• Manages appointments and overall schedule of chairman and executives.
• Assists in the preparation of materials, agendas, notes, and handouts.
• Takes minutes in meetings with high level personnel. Documents decisions and summarizes decision making process in confidential meetings.
• Assists executive or chair in annual evaluations of staff (i.e. promotion and tenure forms).
• Access to confidential information including personnel files and personnel issues.
• Assists in preparation of presentations conducted by executive staff and/or chairman.
• Assists other staff as requested.
• Participates in education activities and programs.
• Handles Oncology department/SOM related tasks such as assisting with physician recruiting, preparing and distributing physician contracts and faculty appointment letters.
• Creates and delivers offer letters to physicians and staff
• Assists in onboarding new employees and physicians.
• Works as a liaison to HR in employee and physician employment administration.
• Works with payroll department to accurately submit time, expense, bonus, check requests for reimbursements and payments.
• Works with other departments to track employment related information needed for management/executives/directors.
• Performs other duties as assigned.


EDUCATION: High school diploma or equivalent. Associates degree or advanced training in administrative functions is preferred.

EXPERIENCE: Three to five years secretarial experience in a healthcare setting preferred.
