Christiana Care is looking for a full-time Executive Assistant to provides administrative support to senior leaders, ensuring effective organization and maximizing productivity. Responsibilities include coordinating meetings, preparing agendas, recording minutes, and supporting system-wide functions. The role directly supports the Physician Executive and Network Development team on calendar management, outreach, and communications, as well as collaborating with the Senior Executive Assistant for coverage and project support. Serving as the main contact for internal and external interactions, the position demands strong attention to detail, adaptability, and excellent communication skills.

Principal duties and responsibilities:

  • Coordinate schedules for Physician Executive and other members of the Network Development team, maintaining strong relationships across the system and with external stakeholders.
  • Support project managers with assigned tasks.
  • Partner with administrative staff for efficient scheduling.
  • Communicate on behalf of the Physician Executive regarding program initiatives.
  • Facilitate and manage executive’s complex calendar, appointments, and itineraries, including travel.
  • Provide administrative support to include meeting minutes, agendas, correspondence, scheduling, Power Point presentations, and Excel spreadsheets.
  • Timekeeping data management and expense reporting.
  • Tracking smooth communication between executive office and departments.
  • Anticipate executive’s needs and ensure readiness for daily activities.
  • and reporting CME activities.
  • Research and support special projects and system-wide initiatives as the need arises.
  • Prioritize and follow up on incoming issues, determining next steps.
  • Maintain confidentiality at all times.
  • Perform other related duties as the need arises

Work Hours: Day Shift

Education and experience requirements:

  • High School diploma is required. Bachelor's degree preferred
  • 5+ years of administrative support experience.
  • Project coordination experience is preferred.
  • Demonstrated experience in supporting a team and building collaborative relationships.
  • Demonstrated experience and ability in successfully utilizing "soft skills" or "people skills.

Knowledge, skills and abilities requirements:

  • Effectively handle competing priorities in a self-directed environment.
  • Manage multiple tasks under pressure.
  • Coordinate complex scheduling and communications.
  • Adapt and innovate when faced with setbacks.
  • Proficient in workforce management tools (e.g., Microsoft Office Suite, Outlook, SharePoint, OneNote).
  • Strong organizational, verbal, and written communication skills; excel at managing expectations.
  • Understand business needs and build customer trust.
  • Willing to learn about the health care environment and ChristianaCare’s culture.
  • Support operational and capital budgeting.
