Job Description
We are seeking a highly proactive and detail-oriented Executive Assistant 2 to support senior leadership. This role goes beyond traditional administrative support—you will act as a strategic partner who anticipates needs, protects executive time, and ensures day-to-day operations run seamlessly.
The ideal candidate is exceptionally organized, thinks several steps ahead, and brings strong judgment, discretion, and a solutions-oriented mindset.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Executive Support & Time Management
- Manage complex, high-volume calendars across multiple time zones
- Prioritize and optimize schedules to align with business goals
- Proactively identify conflicts and resolve them before they arise
- Protect executive time by filtering requests and ensuring focus on highest-impact work
Anticipation & Strategic Support
- Anticipate leader needs and prepare materials, context, and next steps in advance
- Think 10 steps ahead to ensure leaders are prepared for meetings, decisions, and travel
- Track priorities, follow-ups, and key deliverables to keep initiatives moving forward
- Act as a trusted partner in helping the leader stay organized, effective, and focused
Expense & Travel Management
- Manage expense reporting accurately and in a timely manner
- Coordinate complex domestic and international travel, including itineraries and logistics
- Ensure seamless travel experiences with contingency planning as needed
Event Planning & Coordination
- Plan and execute internal and external meetings, offsites, and team events
- Manage logistics including venues, agendas, materials, and communications
- Ensure events run smoothly and reflect a high level of professionalism
Project & Operational Support
- Support cross-functional projects by tracking timelines, deliverables, and stakeholders
- Help drive operational efficiency through organization and process improvements
- Maintain documentation, reports, and communication updates as needed
Executive Effectiveness & Balance
- Help the leader maintain balance by managing workload, scheduling breaks, and reducing friction
- Create space for strategic thinking by handling administrative and operational complexity
- Serve as a gatekeeper and facilitator to ensure sustainable pace and effectiveness
Qualifications
REQUIRED
- 3–6+ years of experience supporting senior leaders or executives
- Expert-level calendaring and organizational skills
- Strong project management and multitasking abilities
- High level of discretion and professionalism
- Excellent communication and stakeholder management skills
- Ability to anticipate needs, problem-solve, and operate with minimal direction
- Proficiency with productivity tools (e.g., Outlook/Google Workspace, Excel, collaboration tools)
