Job Description:
The BCB Music Division is seeking an administrative assistant in a highly visible, interactive role for the largest division at the conservatory. The administrative assistant provides support for the admin coordinator, music division chair and deans, as well as help liaise between music division faculty and students.Candidates should have excellent interpersonal skills as they will interact with both students and faculty, and be able to take initiative and troubleshoot problems as they arise. Ideal candidates will possess a working knowledge of Google Apps., 25Live, and division policies.
Key Tasks and Responsibilities:
Provide secretarial, clerical and reception support for the Music Division office including calendar schedule support for select deans and faculty. Record and take notes on meetings as necessary.
Answer questions and provide support for both Faculty and Students.
Maintain the music assistant email account, respond to or forward any inquiries accordingly.
Act as an initial point of contact for students, providing information about department activities and offerings including tours to prospective students.
Maintain Faculty mail slots in the music division office, retrieve mail from the mailroom snd distribute as needed. Also take mail to the mail room when needed.
Check, reserve and release rooms when needed using 25Live
Maintain access to student lockers and keys for the music division across 132 Ipswich, 31 Hemenway, 8 Fenway, and other various Berklee buildings.
Maintain and check daily the music department bulletin boards for appropriate announcements that have gone through our department and have received the appropriate stamp to be hung on our walls.
Daily office facilities maintenance and support including light cleaning and organizing, supplies replenishment, and running sporadic errands around campus as needed.
Support the planning and execution of events at the conservatory on select weekends
Answer questions and provide support for both Faculty and Students
Manage communications under the direction of the Assistant to the Dean as needed to and from different departments
Support the upkeep of BoCo facilities by continuously monitoring the different spaces and placing work orders as needed Knowledge and Skills Required:
Strong written and oral communication skills.
Ability to work effectively independently as well as in a team-oriented environment.
Strong commitment to high-quality outcomes.
Excellent organizational skills, attention to detail, ability to multitask; self-motivation, and a positive attitude
Proficiency with the Microsoft Office Suite (particularly Excel) and Google applications.
