As Manager of Events & Convention services you will be directly responsible for event documentation and coordination with Sales, other hotel departments and customers to ensure consistent, high-level service throughout the pre-event, event, and post event phases of all hotel events. This position primarily handles complex events. The MOE recognizes opportunities to maximize revenue by upselling and offering enhancements to create outstanding events. You will be contributing to the achievement of superior business results in the areas of ensuring outstanding guest service, team member engagement, favorable financial outcomes, strategic leadership and talent development, culture, innovation, and event operations. This position supports and acts on behalf of the Director of Sales & Marketing.
ESSENTIAL RESPONSIBILITIES
- Enthusiastically and proactively assist the Director of Sales and/or Sales Manager(s) in the sale of the Property concept to group, corporate and leisure prospects in a way that best illustrates the identity of the brand as innovative and new.
- Provide client support to include processing client leads, investigating property and preferred guest program issues, and acquiring or sending collateral materials.
- Remain current on event trends to evaluate innovative ways for process/practice improvements and share best practices.
- Participate or represent Marriott in industry social/meeting/events professional associations.
- Ensure the proper use of all function space, exhibit hall, and event spaces.
- Serve as a highly visible, participatory leader who proactively and consistently engages with their General Manager, Sales, Banquets,Catering, and Events team members, external guests, and suppliers.
- Negotiate and prepare contracts with clients for all events booked using established guidelines. Reiterating to clients in agreements the events specific to ensure accurate communication.
- Responsible for all administration of Catering Contracts and Banquet/Catering BEO’s
- Provide event related details for all Group Resumes
- Plan & coordinate banquet, catering, special events and holiday functions; including large special events in conjunction with Turtle Bay such as Garden of Lights and Glowing Wild.
- Develop and maintain client files.
- Interact with kitchen and restaurant management team on event dates and times, menu development, food set-up and displays for events to ensure the highest quality of food production, standards, presentation and service.
- Facilitate weekly BEO review meetings with the Banquet and Kitchen managers.
- Drive product quality and a unique guest experience at every opportunity
- Maintain a refreshing attitude focused on positive friendly interactions with guests and staff.
- Develop and maintain strong interdepartmental relationships and open communication lines to assure efficient transfer of information.
- Partners with the Hotel GM, Restaurant Manager and Director of Sales & Marketing on monthly special events calendar. Coordinates and executes all special events from invitation to event.
- Conduct weekly meeting with the Banquet Manager to ensure upcoming events are properly staffed and all necessary equipment is ordered.
- Inspect all meeting and event set-ups for guest readiness prior to the event start time.
- Introduce the meeting planner or event contact to the Banquet Captain assigned to their function.
- Ensure special events such as Garden of Lights and Glowing Wild are properly staffed. Review financials weekly to ensure postings are entered correctly. Track items that need to be billed back to Turtle Bay. Ensure inventories, transfer logs, and other month end items are completed on time.
- All other duties assigned by the General Manager.
PHYSICAL DEMANDS
Environmental conditions are inside, a job is considered “inside” if staff spends approximately 100 percent or more of the time inside. Temperature is moderate and controlled by resort environmental systems.
- Must be able to sit at a desk for up to eight (8) hours per day. Walking and standing are required at times. Length of time of these tasks may vary from day to day and task to task.
