Summary:

Provide administrative, event, and project support for the Duke Global Health Institute (DGHI) education team. Work within framework of the DGHI mission to support undergraduate and graduate education in global health at Duke University.

 

Work Performed:

Administrative and Event Planning Support (35%)

  • Schedule meetings, determine room reservations, and manage logistics (e.g. catering) for education events including general meetings, thesis defenses, program interviews, visits by potential students and employers.
  • Assist with events related to education and training programs (orientation, commencement, capstone poster session, annual research showcase).
  • Process travel and/or event-related expense reports for education team members and/or activities.
  • Manage team calendar and ensure important dates, deadlines, meetings, etc. are added and communicated to appropriate parties.
  • Collect agenda items for, take notes, and maintain minutes at regular Education Team staff meetings and other meetings as needed.

Educational Programs, Database and Finance Support (45%)

  • Administration of undergraduate and graduate course evaluation processes, including organization, distribution, and collection.
  • Serve as point-person for student questions related to student grants, hiring, thesis scheduling and other administrative issues.
  • Maintain, update, and track student and program information across education and experiential learning programs.
  • Data entry for and basic maintenance of several databases used to administer course scheduling, course reporting and student records.
  • Coordinate production, maintenance, updating of manuals prepared for various education programs and purposes.
  • Coordinate, process and track reimbursements and non-compensatory programs and grants for students.
  • Assist with student hiring processes for both UG and MS programs.
  • Assist in the production and organization of MS-GH scholarship notification letters and admissions-related data and communications.
  • Produce course enrollment reports at defined points during each semester.

 

External Communications and Marketing Support (15%)

  • Manage team email account and respond to general/standard inquiries for information about education and experiential learning programs.
  • Maintain resources for students including distribution of information for students concerning internships, fellowships, and summer opportunities, as well as other relevant announcements.
  • Maintain program calendars and operations check-lists. Ensure that important dates and deadlines are communicated to students via various media, including listservs. This includes general information about course registration, experiential learning requirements, workshops, etc.

 

General (5%)

  • Complete other assignments as assigned by members of the education team and the Director for Academic Programs.
  • Perform other related duties incidental to the work described herein.

 

Applicant must have experience with Microsoft Office suite- specifically Word, Excel, PowerPoint, Outlook and Teams.

 

 

Education: Work requires a broad knowledge and skills related to administrative practices normally acquired through completion of a bachelor’s degree.

 

Experience:

  • Work generally requires 1-3 years of related administrative experience to acquire skills necessary to administer complex office functions related to office management, communications, and budgetary activities.
  • Requires strong MS Office skills.
  • Ideal candidates will also have excellent communication and organizational skills, and strong attention to detail.

Minimum Qualifications

 

Education

Work requires a broad knowledge of clerical and accounting principles and practices normally acquired through two years of post-secondary education in secretarial science or a related business field.
