About the role

Department Overview

This position will provide exceptional front desk and phone support at the OHSU SoundSource, LLC retail hearing aid clinic. This position will be responsible for active tracking, stock, and assisting with ordering inventory for this location. This position will be cross-trained to assist with basic equipment set up, hearing aid instruction, cleaning, and repair. The retail specialist will be actively involved in SoundSource event coordination and marketing.

Function/Duties of Position

Customer Service:

  • Provides high-quality customer service to external customers (patients, referring providers, and vendors) and internal customers (OHSU health care providers and staff) that meets or exceeds the service standards of the health care industry.

Administrative Operational Duties:

  • Orders inventory as instructed using Pcard and/or PO; receives merchandise; verifies pricing and quantities received in Oracle; maintains inventory, ensures stock is accounted for, and reorders when stock level is low.
  • Completes Pcard reconciliation monthly.
  • Identifies and collects payments on all sales. Provides receipts and completes necessary accounting procedures.
  • Works closely with the audiologist on marketing strategies, advertisement preparation, and event coordination to promote Sound Source.
  • Troubleshoots equipment problems and initiates new equipment requests.
  • Serve as an ITG Network Contact and telecommunications for the Sound Source clinic.
  • Maintains a clean, safe, and orderly environment. Includes, but is not limited to, maintaining supplies, equipment, and forms, notifying appropriate personnel when cleaning and repair of equipment is needed following infection control policies, maintaining knowledge of life safety, patient safety, fire and electrical safety, and the disaster plan.

Clinical Operations:

  • Responsible for all opening and closing tasks; provides front desk and phone support for the retail location.
  • Maintains scheduling system at Sound Source in the CounselEar system.
  • Reviews and problem-solves any patient volume and flow issues.
  • Recommend operational changes as needed.
  • Investigate patient complaints and develop appropriate corrective action plans.
  • Participate in vendor meetings and educational events.
  • Assist customers with exchanges or returns as needed.

Required Qualifications

One year of experience in retail sales including selling, cash register operation, general clerical work and/or financial record keeping (preference will be given for specialty store environment); OR

Equivalent combination of training and experience.

 

Job Related Knowledge, Skills and Abilities (Competencies):

  • Excellent interpersonal skills that allow effective working relationships with a diverse customer, colleague, and vendor population. This includes listening, sales, and problem-solving skills.
  • Comfortable with Microsoft programs and experience with scheduling platforms.
  • Comfortable using multi-line phone and providing information, and scheduling appointments.
  • Ability to problem-solve and resolve conflict between parties.
  • Ability to manage multiple priorities, prioritize workload, and meet deadlines with possible interruptions.
  • Ability to work accurately and without supervision.
  • Proven record of reliable attendance, punctuality, and successful performance with past and present employers.
  • Ability to have sound judgment with regard to daily work and prioritization.

Preferred Qualifications

Education:

2-4 year degree

 

Experience:

  • One year of front-line clerical experience in a clinical setting with direct patient contact.
  • Experience must include scheduling of appointments.

 

Job Related Knowledge, Skills and Abilities (Competencies):

  • Keyboard/computer/Audiology diagnostic and hearing aid software and equipment experience.
  • Knowledge of hearing aid vendors and brands. 
  • Ability to answer customer questions regarding devices.

Additional Details

Monday – Friday; 8:30am – 5pm at Sound Source clinic on the OHSU South Waterfront. Sound Source is a small clinic with high patient volume.

Retail specialist and audiolologist only staff onsite.
