Major Responsibilities: Operations 2)Knowledgeable regarding specific commercial and medicaid insurance plans with which the Dental Center participates. Stays abreast of changes in requirements and regulations. Knowledgeable regarding preauthorization, documentation and all other requirements for participations. Ensures that systems are in place to effectively handle all reporting and documentation relative to reimbursement. 6)Maintains current knowledge necessary for management regarding computer systems, billing, insurance, state and federal laws, dental assessment/treatment, scheduling and all other functions related to dental care delivery. 7)Participates in short and long term planning. Plans for the needs of the area in conjunction with the Chairman, Residency Director and Operations Director. 8)Establishes staffing requirements with the Director. Plans for appropriate utilization of human resources. 9)Prepares the weekly clinic schedule to ensure adequate dental assistant and and front office support for 9 dental residents, 4 employed and 5 timeshare dentists. Assigns dental assistant staff to work in the OR to cover dentists treating patients through Same Day Surgery. 1)Responsible for managing all center support expenses and cost reduction activities for the Dental Care, Mobile Dentistry, Special Patient Dentistry and Timeshare Programs. 10)Monitors quality of patient care and patient satisfaction; oversees implementation of measures to improve both. Reviews charts for documentation compliance of quality indicators. This includes required time-outs before procedures, sterilization checks, vital signs taking, etc. Develops and implements policies and procedures to assure effective and efficient operations consistent with IMMC/Advocate Health Care philosophy, policies and procedures. Ensures compliance with all regulatory agency standards i.e. federal, state, city, FDA, Accrediting Organization, OSHA and all center policies and procedures. Develops, monitors and analyzes CQI projects. Conducts special projects and studies related to area activities, goals or objectives. Has thorough knowledge regarding all work processes within the Dental Center. Ensures and oversees appropriate and compliant billing and collection practices for all professional and technical services. 3)Insures that systems are implemented for complete, timely and accurate facility and professional charge encounter capture. 4)Reviews monthly Accounting and AMG reports to evaluate the Center’s performance. Follows up on any variance for all Dentistry Programs: Dental Care, Mobile Dentistry, Special Patient Dentistry and Timeshare. 5)Responsible for assuring that all charges related to patient care activities are entered into the appropriate systems in an efficient and accurate manner. Performs quarterly billings to 8 outside pediatric dentists who treat patients in the OR. Preparation and administration of budgets. Responsible for budget management and performance and fiscal oversight of all areas of responsibility. 1)Develops annual operating budgets (revenue, expense, activity and FTEs budgeted and actual) for the Dental Care, Mobile Dentistry, Special Patient Dentistry and Timeshare Programs. 2)Develops capital budgets(maintenance and strategic capital) 3)Appropriately manages budgeted vs actual FTEs, open requisitions and profile processing, performance reviews within policy guidelines of 30 days or less for 20 clinical and support staff associates. 4)Monitors and evaluates performance of the Dental Center as it relates to revenue. 5)Assists with the development of feasibility studies for new programs/capital expenses. 6)Manages all grant accounts, providing accurate and timely accounting to administration upon request. Requests fund transfers, when appropriate, to offset operating expenses, capital purchases and or unbudgeted necessary requests. 7)Oversees dental resident productivity/revenue and administrates the Dental Business Plan which rewards dental residents for exceeding revenue the revenue target.
