Job Summary

Serves as confidential Executive Assistant to the Senior Vice President(s). Provides administrative support and acts as a liaison between hospital personnel, patients, and visitors.
 

Minimum Qualifications

Minimum Education: High School Diploma or Equivalent
Minimum Years of Experience: 5 Years of Secretarial Experience or Experience in a Leadership Support Role
Substitutable Education & Experience: In lieu of 5 Years of Secretarial Experience or Experience in a Leadership Support Role, will consider a Bachelor's Degree with 2 Years of Relevant Healthcare or Leadership Experience
Required Certifications/Licensure: None.
Required Training: Ability to work independently and prioritize multiple expert tasks under minimal direction;

Ability to lead by example, adhering to the highest standards of professional work ethics and confidentiality;

Exceptional proficiency in personal computer applications including MS Office Suite and operating systems. Ability to perform advanced functions in Power Point and Excel.

Essential Functions

  • Routinely responsible for various summaries including physician quarterly compensation with accuracy.
  • Organize and manage minutes for various meetings and Board meetings, attends meetings as required for purpose of recording, typing and distributing minutes and ensures that follow up of items recorded is completed. Processes necessary items for meetings:  distribution of meeting notices and agendas, assures meeting space, processes room set-up requisitions, dietary requisitions and audiovisual equipment. Also is able to maintian an effective file system, create file systems both physically and electronically.
  • Maintains current appointment calendar for Senior Vice President(s) and works to ensure executives are on schedule.
  • Answers phone, greets visitors and takes appropriate actions, i.e., schedules appointments, directs to appropriate department, etc. Fields phone calls and complaints from staff, visitors, and families in a positive, reflective manner.
  • Screens correspondence and initiates action. Answers routine correspondence on own initiative, drafts letters, memos, etc. as required.
  • Routinely compiles data and responsible for reconciliation of documentation for executives. 
  • Processes travel arrangements for out-of-town meetings/seminars.  Makes hotel reservations, conference registration, expense monies, etc.
  • Processes check requests, expense reports, and bonus checks as requested.
  • Assures that office supplies are maintained in cooperation with other support staff.
  • Maintains confidentiality of patients, personnel, and system information. Respects patient’s privacy. Discouraging gossip and uses discretion when discussing patient, work or LMC related information with others. Respects patients "Bill of Rights".
  • Maintains a courteous and professional manner in dealing with patients, visitors, medical staff, and fellow employees. Demonstrates receptiveness to change and maintains a positive attitude through the change process.
  • Presents professional appearance in dress and grooming by adhering to LMC’s dress code
