ABOUT THE JOB

The ACLU seeks a full-time position of Executive Assistant, Strategy and Culture, in the Executive Department of the ACLU’s National office in New York, NY. This is a hybrid role that has in-office requirements of two (2) days per week or eight (8) days per month.

The Executive Department of the ACLU is the critical nerve-center of a 600-person+ national nonprofit with an operating budget of over $350 million, and 1.64 million supporters. The Executive Department stewards the strategic vision for a 100+-year-old legacy institution whose mission is to create a more perfect union – beyond one person, party, or side – to realize the promise of the U.S. Constitution for all and expand the reach of its guarantees. The ACLU advances liberty and justice in the courts, in the legislatures, in the streets, and at the ballot box. Defending and advancing these fundamental rights and core values, as well as promoting a cohesive vision across departments and affiliates, requires an exceptional executive function, led by the Executive Director. The Executive Department is comprised of the Strategy Office and Equity, Diversity, Inclusion, and Belonging (EDIB) team and is also responsible for the ACLU’s national board and special programming, including the Advocacy Institute.

WHAT YOU'LL DO 

Reporting to the Deputy Executive Director, Strategy and Culture and Chief Strategy Officer, this position will help ensure the execution of fundamental operations in the Executive department is seamless, accessible, and responsive. The Executive Assistant will be responsible for supporting the Deputy Executive Director and Chief Strategy Officer’s calendars and organizational priorities, coordinating cross-functional initiatives, and providing logistical and administrative support for meetings and events. The Executive Assistant will also serve as a liaison to counterparts in senior leadership of the organization to enhance coordination, collaboration, and cross-departmental alignment of principals to advance the mission and strategic goals of the ACLU.

YOUR DAY TO DAY

Administrative and Logistical Support

  • Complete a broad variety of administrative and logistical tasks that facilitate the Deputy Executive Director, Strategy and Culture and Chief Strategy Officer’s abilities to effectively lead, including but not limited to: calendar management, assisting with special projects; designing and producing documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact and attendee lists; arranging travel; and completing expense reports
  • Serve as "gatekeeper" and "gateway" for internal and external constituencies on all matters pertaining to the Deputy Executive Director, Strategy and Culture and Chief Strategy Officer, including those of a highly confidential and critical nature; prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect Deputy Executive Director, Strategy and Culture and Chief Strategy Officer’s style and organization policy
  • Provide sophisticated calendar and task management assistance: prioritize inquiries and requests while troubleshooting conflicts; maintain an organized system of tracking, monitoring, and prioritizing tasks and projects related to the Deputy Executive Director, Strategy and Culture and Chief Strategy Officer’s portfolio; make judgements and recommendations to ensure smooth day-to-day engagements
  • Work closely with the Deputy Executive Director, Strategy and Culture and Chief Strategy Officer to keep them well informed of upcoming commitments and responsibilities, following up as appropriate; act as a "barometer," having a sense for the issues taking place in the environment and keeping the Deputy Executive Director, Strategy and Culture and Chief Strategy Officer updated and anticipating needs in advance of engagements
  • Project manage special projects and initiatives, conduct research and analyses on the ACLU’s strategic priorities, organizational design, culture, and more
  • Provide support for annual, mid-year, and monthly budget preparations/submissions and strategic planning processes
  • Serve as the Executive Department’s main point of contact for external vendors and consultants, make travel arrangements, process invoices, review contracts, and complete expense reports with accuracy and timeliness
