What this job involves:
JLL is seeking a detail-oriented and technically proficient Project Coordinator to support our client account team in a role that serves as the essential connective tissue between project management, data systems, and seamless client delivery. This position plays a critical enabling role—keeping data current, reports accurate, documents organized, and information flowing effortlessly between client and JLL platforms. You'll be the behind-the-scenes force ensuring project teams always have accurate, up-to-date information at their fingertips and that our client receives consistent, professional reporting on schedule every single week. What your day-to-day will look like:
Collect, consolidate, and validate weekly project data submissions from Senior Project Managers across the account, performing quality checks to identify gaps, inconsistencies, or anomalies before reports reach the client
Produce polished, client-ready weekly status reports in accordance with reporting standards, uploading completed documentation to client-designated platforms and JLL systems on time, every week without fail
Maintain and update account-level dashboards and rollup reports reflecting portfolio-wide budget, schedule, and safety performance using Excel-based tracking workbooks, pivot tables, and custom reporting templates
Manage the master document control system for the account, ensuring all project documents are current, properly named, and filed correctly across JLL software (Adaptive Work, Ingenious, SharePoint) and client platforms including Procore
Coordinate the weekly report production cycle from start to finish: issue data collection templates, track submissions, consolidate inputs, resolve incomplete data with PMs, and finalize reports by established deadlines
Support preparation of monthly account reviews, quarterly summaries, and executive briefings by developing trend analyses and summary metrics that tell the story behind the numbers
Handle meeting logistics, project setup activities, document audits, and ad hoc research requests while maintaining team directories, contact lists, and project rosters with meticulous accuracy
Required qualifications:
Minimum 2–3 years of experience in project coordination, administrative support, or data analyst roles—preferably in construction, real estate, or facilities management environments
Advanced proficiency in Microsoft Excel including pivot tables, complex formulas, data validation, conditional formatting, and charting capabilities that transform raw data into actionable insights
Strong skills across the Microsoft Office 365 suite including Word, PowerPoint, Outlook, Teams, and SharePoint with the ability to leverage these tools for seamless collaboration
Demonstrated ability to manage multiple concurrent deadlines with a high degree of accuracy while maintaining composure in fast-paced, client-facing situations
Excellent written communication skills and meticulous attention to detail—you catch errors before they reach the client and take genuine pride in the accuracy of your work
Ability to work independently in a remote or distributed team environment, proactively communicating and flagging issues early without waiting to be asked
Valid driver Lic.
Preferred qualifications:
Experience with construction project management platforms such as Procore, Adaptive Work, Ingenious, or comparable software systems used
