Responsibilities and Impact:

We are looking for a self-driven individual with great problem solving and customer service skills for our Administrative Assistant role. The key purpose of this role will be to support the New York Market Intelligence (MI) office operations and local management team to ensure best experience for employees working in the office, employees visiting from other locations, or hosting client visits. Reports to Associate Director of Executive and Operations Support, America and EMEA.

  • You will execute all required administrative and operational needs at 55W office to maximize business workflows.

  • You will maintain best practices and industry standards to provide a leaner, consistent and reliable operational structure.

  • You will work closely with Communication and People Teams, Management, Executive Assistants and other EOS team members.

  • Serve as the primary point of contact for visitors, clients, and employees, providing exceptional customer service and professional representation of the organization.

  • Support various administrative projects and respond to ad-hoc requests from multiple departments with flexibility and professionalism.

  • Key contact for all internal and external visitors assisting with seating, conference room booking and setting up, and other administrative needs.

  • Serve as the primary point of contact at the front desk reception area, collaborating with administrative team member to ensure seamless visitor and client experience.

  • Ambassador for MI office culture with office wide communications, initiatives, event planning for social, charity and other company events. Be the point of contact for general office enquiries.

  • Coordinate and support town halls and large meetings; including catering, meeting logistics, meeting materials, Zoom/AV connections etc.

  • Assist managers/HR with onboarding, transfer and offboarding of staff, building access and other necessary guidance.

  • Partnering with Facilities, mail room coordinators and IT Help desk members

  • Other ad-hoc requests and office-related projects.

Compensation/Benefits Information: (This section is only applicable to US candidates)

S&P Global states that the anticipated base salary range for this position is $63,540 to $76,292. Final base salary for this role will be based on the individual’s geographic location, as well as experience level, skill set, training, licenses and certifications.

In addition to base compensation, this role is eligible for an annual incentive bonus.

What We’re Looking For:

  • Bachelor’s degree or/and 3 years’ experience in an office administrative role

  • Proficient in using MS Office, including MS Teams & Outlook

  • Ability to multi-task effectively as well as to follow up/manage ongoing projects/issues 

  • Ability to work on own initiative in a busy environment where constant reprioritization is required

  • Ability to manage multiple tasks, projects, resources and dependencies in a fast-paced environment.

  • Strong and effective problem-solving and research skills.

  • Excellent teamwork skills, particularly the abilities to continually anticipate emerging issues, and to plan for success.

  • Excellent oral and written communication skills.

  • Excellent and effective organizational and time management skills.
