SUMMARY
The role of the Office Manager at CLEARFORK ACADEMY is responsible for assisting supervisor(s) with daily activities and
projects performing a variety of clerical duties. The Office Manager is typically the first person welcoming in clients and their
families, and visitors and must always maintain a professional and positive demeanor. Plays a critical role in the facilitation of
various administrative functions to include new hire orientation, office equipment, organizational software and functionality, and
office supplies to name a few. Responsible for creating and publishing a weekly update that keeps staff up to date on key events
that are happening at Clearfork Academy.

Age of Patient Population Served: Adolescent and Young Adult Males
Population Served: Persons meeting DSM 5 criteria for substance use disorders with or without co-occurring psychiatric illness.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Monitors the status of work and projects as they come about.
- Orders office supplies and manages inventory; responsible for ensuring inventory stays stocked at all times.
- Answers phones and directs calls to the appropriate extension.
- Reconciles financial documents for payroll, expenses, and accounting and works closely with CFA Bookkeeper; has an understanding of QuickBooks software.
- Responsible for greeting guests as they come into the lobby and demonstrates superior customer service. Ensures all visitors and interns sign in and out at front desk.
- Receive and sort incoming mail, deliveries, and manage outgoing mail.
- Develop office policies and procedures and facilitatesimplementation.
- Works directly with IT staff to correct and resolve issues with computers, printers, and phone systems. Updates company website and other social media platforms as needed.
- Manages a budget for office related expenses, to include holiday decorations, birthday/anniversary gifts, and office supplies.
- Maintains cleanliness of lobby and conference room, to include stocking supplies of coffee, tea, and water stations, and making coffee as part of daily morning routine.
- Develops and maintains process for Clearfork Academy equipment and supplies.
- Purchases items related to Clearfork Academy business in the local area.
- Decorates Legacy Center and lobby for major holidays, family intensive, and special events.
- Assists with planning company events, on campus tours, family intensive, and other special events.
