Located at 1450 Highland Avenue in Needham MA, 300 Boylston Street in Newton MA and 173 Worcester Street in Wellesley, MA, our Cardiology team provides a wide range of outpatient care for patients who have a high risk of heart disease. We provide diagnosis, management of acute and chronic conditions, and preventive care.


 

Job Summary

We are seeking a full-time 40-hour Practice Supervisor to support our Needham, Wellesley and Chestnut Hill office to oversee the operations of the practices and supervise our team of Nurses, Medical Assistants, and front desk staff.

This position is onsite Monday through Friday from 7:30 – 4:00pm. Our Cardiology team consists of 13 MDs, 9 APP, and approximately approximately 25 staff members both clinical and non-clinical that this team member would be supervising in partnership with the senior operations manager, but we are a growing team as we are currently expanding our cardiology offices!

Responsibilities:
• Provides assistance to the office staff to ensure the practice runs smoothly for both physicians and patients.
• Responsible for recruiting, hiring, evaluating, training, and developing support staff.
• Supervises the daily operation of the office including helping staff establish deadlines for work assignment and completion, and monitoring work status and progress.
• Provides day-to-day facility and administrative management and oversight for the site, monitoring the physical environment and calling in appropriate resources to address problems with telephones, lighting, electrical, telephone and other facility systems.
• Participates in the assessment and management of operational functions including patient scheduling, wait times, staff coverage, ancillary tests and follow up appointments, phone systems, transcription services and volume issues.
• Monitors/coordinates managed care/billing function including referral process, insurance verification, registration, cash collection, encounter forms and billing
• Manages expenses, maintains an internal purchase order system for supplies and equipment
• Ensures proper bookings, updating and revising clinicians’ schedules, and monitoring session utilization.
• Performs other duties as assigned by Practice Manager and must be willing to take on additional responsibilities and provide assistance in all areas needed. Complies with all policies and standards


 

Qualifications

Education
High School Diploma or Equivalent required and Associate's Degree Health Administration preferred or Associate's Degree Related Field of Study preferred

Licenses and Credentials

Experience
Experience in administrative roles, preferably in a healthcare setting 3-5 years required and Experience in a supervisory or leadership role 1-2 years preferred

- Proficient in the use of office productivity software, such as Microsoft Office (Word, Excel, PowerPoint) and email systems.
- Strong organizational and time management skills, with the ability to multitask and prioritize workload effectively.
- Excellent communication and interpersonal skills, with the ability to interact professionally with individuals at all levels.
