Role Summary
The Occupancy Manager (OM) is responsible for the Occupancy Planning playbook, ensuring alignment with CREWS’ overall goals and enabling each region to accommodate space effectively. This position will support the Real Estate & Workplace Strategy Director by proactively analysing occupancy data to create future RE strategies. Develop a framework that provides RE portfolio transparency and supports internal reporting within CREWS. Meet with business units to retrieve and collect business requirements and headcount forecast information. Preparing space solutions and recommendations to meet requested needs and optimize RE portfolio. Ensuring all space requests are logged, validated and responded to within a timely manner.
Responsibilities
- Oversee space portfolio, monitor supply, demand, and capacity requirements, and identify patterns and/or areas of low/high occupancy density or usage and opportunities for better utilization.
- Conduct space and occupancy audits as needed to maintain accurate reporting information, including employee locations, furniture layout, room configurations and specialty spaces are all correctly identified on floor plans
- Manage and respond to space related work requests (SelfService tickets) in timely manner, help business partners to understand how to engage with CREWS so that we can successfully execute moves
- Partners with Move, Add and Change (MAC) Coordinators in order to ensure that associate moves are implemented in accordance with Business Unit requirements as well as overall strategic plan
- Establish & maintain relationships with various internal lines of the business to understand their space requirements and the impacts to the CRE (Corporate Real Estate) portfolio
- Develop occupancy planning playbook, introducing standard operating procedures and best practices. Educate business units on space and occupancy policies & procedures
- Prepare recommendations for Business Units on space utilization and stacking plans
- Prepare monthly occupancy reports using CAFM program (PlanOn, FMS).
Qualifications
- College degree in Management, Architecture, Design, Real Estate, Construction, Facilities Management (or related discipline) and 5 to 7 years’ experience in occupancy or space planning for corporate clients , or
- Associate degree in Management, Architecture, Design, Real Estate, Construction, Facilities Management (or related discipline) and 7+ years’ experience in occupancy or space planning for corporate clients and 3 years related work experience
Knowledge and Skills
- Excellent verbal and written communications skills
- Proven track record of meeting demanding project deliverables.
- Proven track record in managing an agile/Activity Based Working (ABW) portfolio, not just standard 1:1 desking.
- Ability to determine what data sources are needed to conduct headcount forecasts, utilization analyses, and space allocations.
- Conduct such forecasts, analyses, and allocations with limited supervision or guidance
- Solid communication and presentation skills. The ability to translate data from multiple sources and create understandable reports and presentations for space occupancy.
- Possess a working knowledge of office design principles and trends such as the mobile or collaborative workplace; literate in reading and interpreting floor plans. Requires knowledge of basic financial terms and principles as well as ability to calculate space metrics.
- Fluent in Excel and the use of pivot tables and V-lookups to quickly analyze monthly HR data feeds, security badge reports, and space utilization reports
- Ability to consolidate data and floor plans into PowerPoint presentations to report findings.
- Capability to manage client expectations and anticipate needs.
- Working knowledge of Computer Aided Facility Management application
- Proficient in AutoCAD
