Summary
This position is part of the HR Shared Services Team with particular focus on navigating the complex process of obtaining visas, green cards and citizenship. Will assist and support individuals with the entire process of immigrating to the US or Canada for work purposes. This position will partner with international employees to ensure a seamless, fully supported transfer, in compliance with the law.
Duties and Responsibilities
- Assist employees in understanding the immigration process and completing immigration application and forms.
- Assemble documentation, prepare, and file employment based non-immigrant visa petitions, permanent resident petitions, and green cards.
- Serve as subject matter expert and consultant to management, employees, HR teams and key stakeholders.
- Document, enhance, implement and continuously update Standard Operating Procedures for immigration processes.
- Align and develop a long-term approach for consistent administration of the Immigration and VISA program to support all divisions in the US and Canada.
- Work closely with DSV’s immigration service providers to ensure the employee experience is frustration free.
- Responsible for compliance with regulations relating to the immigration process.
- Initiate and manage all assigned cases through service provider management system, monitoring current status, next steps and deadlines to deliver a high-quality end user experience.
- Drive and manage key internal immigration programs and projects, to include the H-1B Cap, L-1 visas, J-1 and H-3 Trainee Programs
- Provide education and advice to employees transferring.
- Develop and update welcome materials to guide transferring employees with US and Canada based requirements, such as how to obtain an SSN or SIN, bank account, vehicle, etc.
- Maintain and update visa information in employee records within the HRIS system
- Stay up to date on changing immigration laws.
- Follow internal case management protocols to ensure invoices are processed, confirming the charges are correct.

Required Skills and Competencies
- 5+ years experienve managing immigration cases from start to finish. Related experience that demonstrates ability to perform the essential functions of this role may also be accepted.
- Strong to expert level knowledge of immigration laws and policies
- Excellent communication and interpersonal skills
- Ability to work independently and manage multiple tasks with varying deadlines, simultaneously
- Exceptional organization skills
- Strong proficiency in Microsoft Office applications, such as Outlook, Word, Excel.
- Ability to build strong relationships with diverse employees, clients, and cultures
- Self-motivated with strong attention to detail
- Ability to establish priorities and meet deadlines
- Good to excellent spelling, grammar and written communication skills
- Ability to maintain a high level of confidentiality
- Must have a high sense of urgency and customer service focus
- Ability to analyze processes and make practical recommendations
- Must be able to deal with ambiguity, cope with change and be flexible with shifting priorities
Preferred Skills and Competencies
- Knowledge of PERM, NIV and DACA regulations and pending state and local legislation
- Strong knowledge of I-9 requirements in the US
Language Skills
- English (reading, writing and verbal)
