Position Overview
This position, under direction of the Manager of Specialized Training, serves as the agency’s Specialized Programs Assistant. The ideal candidate for this position will have the ability to work in a fast-paced environment, be highly organized, and be capable of multi-tasking to keep up with the demands of a busy and growing agency. ILETSB is conveniently located in Springfield with a satellite office in Chicago and free parking on-site at both locations. Essential Functions
1. Types statutorily required information into the Police Training Board (PTB), Law Enforcement Document Interchange (LEDI), and Law Enforcement Training Management (LETM) database applications pertaining to employment data and training status of municipal and county law enforcement and correctional officers.
- Accurately and completely enters information into the Police Training Board (PTB), Law Enforcement Document Exchange (LEDI), and Law Enforcement Training Management (LETM) database applications from:
- Agency Personnel Rosters
- Annual Firearms Qualification Rosters
- Academy and Mobile Team Unit Training Rosters.
- Applies knowledge of Board policies and procedures when applying the information entered.
- Applies knowledge of Board's Police Training Board (PTB), Law Enforcement Document Exchange (LEDI), and Law Enforcement Training Management (LETM) database applications.
2. Provides clerical office support to professional staff within the Specialized Programs department and throughout the Training Division, on various projects and training conferences.
- Gathers information and statistics upon request.
- Composes and types simple responses to routine correspondence using Microsoft Outlook and Word.
- Keyboards a variety of difficult material into Microsoft Outlook or Word and Excel documents, including records, reports, correspondence, and other documents from handwritten or printed hard copy where terminology includes both commonly used and specialized words which can be readily checked in available references or are previously encountered within the Training Division.
- Creates and maintains complete and accurate Excel spreadsheets to track specialized and general training data for reporting.
- Determines proper format of documents and proofreads for general clarity, punctuation, grammar, spelling, capitalization, and typographical errors.
- May submit draft documents to originators for editing prior to finalization.
- Ensures assignments are timely and adequately performed.
- Assists with preparations for the quarterly Board meetings
3. Receives and responds to inquiries from municipal and county law enforcement agencies, Mobile Team Units (MTUs) and Academies in order to verify and disseminate the data submitted by the agency into the Police Training
