Overall Purpose: Performs a variety of administrative and clerical duties for attorneys and paralegals in the legal department.
Key Roles and Responsibilities:
- Responsible for developing and maintaining legal or business type filing systems with a demonstrated proficiency in typing business letters, legal papers and correspondence using Word; preparation of reports using either Word tables or Excel.
- Assist with basic research in law journals and other legal publications with an understanding of legal terminology and legal document formatting, including spreadsheets and preparation of presentation materials using PowerPoint.
- May perform work on special projects involving research, compiling, and analyzing data, determining approach, and preparing reports.
- Provides guidance to assistants and managers in the organization regarding administrative practices May perform a variety of administrative duties such as processing bills, vouchers, requests, payroll, personnel and budgets, may coordinate requests for workspace, service, and office equipment and other programs such as charitable campaigns, employee recognition and records retention.
- May provide back up support for the Executive Assistant (Officer) position by providing administrative support to an Officer during their assistant's absence.
Education:
Typically, high school diploma or GED preferred, specialized skill training/ certification may be required.
Experience: 5 Years of litigation experience required.
Supervisory: No.
Key Roles and Responsibilities:
- Court filings and litigation case file management.
- Responsible for developing and maintaining legal or business-type filing systems with a demonstrated proficiency in typing business letters, legal papers and correspondence using Word; preparation of reports using either Word tables or Excel.
- Assist with basic research in law journals and other legal publications with an understanding of legal terminology and legal document formatting, including spreadsheets and preparation of presentation materials using PowerPoint.
- Assist with legislative bill tracking with an understanding of when different states are in session.
- Knowledge and proficiency with all components of Microsoft Office is essential, as is knowledge and proficiency in the state and federal e-filing systems.
- May perform work on special projects involving research, compiling, and analyzing data, determining approach, and preparing reports.
- Provides guidance to assistants and managers in the organization regarding administrative practices. - This position performs a variety of administrative and clerical duties for litigation attorneys in the legal department.
- Calendar management and scheduling depositions, mediations, meetings and teleconferences. Ability to respond in real time to ever-changing schedules and shifting priorities, and to juggle events across multiple calendars.
- Ability to work smoothly, proficiently and politely with a geographically distributed client base and Legal department, at all levels of the company up to and including senior executives and their staffs.
- Ability to work cooperatively in a large team environment.
- Travel planning.
- Administrative tasks include payroll, vacation balance tracking, expense reports, bar membership renewal, etc.
Qualifications:
- 5+ years of litigation and/or Regulatory administrative experience is required
