GENERAL DESCRIPTION
The Office of the Registrar at Pitzer College is committed to fostering a culture of innovation, collaboration, inclusion, and diversity. The temporary Records Assistant position in the Office of the Registrar provides general customer service and clerical support for records, registration, and graduation related processes.
ESSENTIAL FUNCTIONS
- Records maintenance: Scanning and digital filing of forms, emails, and other documents into the appropriate digital records repository.
- Customer service: Provide support to the community through answering phone calls, assisting walk-in visitors, and responding to general email inquiries with accurate information.
- General administrative support: Maintaining office supplies, picking up and distributing mail, and performing other administrative support duties as assigned.
- Privacy and confidentiality: Learn and adhere to regulations outlined in the Family Educational Rights and Privacy Act (FERPA) and Pitzer’s policies and procedures in accordance with these provisions.
- Provide exceptional customer service to students, faculty, staff, and third-parties for in-person, phone, and email inquiries.
- Process academic record updates as assigned.
- Perform other duties as assigned.
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES
The individual must possess knowledge, skills and ability to be able to successfully perform the essential functions of the position or be able to explain or demonstrate how the essential functions will be performed, with or without reasonable accommodation, using some other combination of skills and abilities.
- Strong attention to detail and accuracy, with the ability to manage multiple tasks, prioritize effectively, and meet deadlines.
- Excellent written and verbal communication skills, including the ability to explain academic policies clearly to diverse audiences.
- Outstanding customer service skills and the ability to engage effectively with students, faculty, staff, families, and external agencies.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and comfort learning new technologies, databases, and student information systems.
- Ability to maintain confidentiality and comply with FERPA and institutional policies.
- Strong analytical and problem-solving skills, with the ability to identify issues, propose solutions, and exercise sound judgment.
- Ability to work collaboratively and independently, knowing when to take initiative and when to seek guidance.
- Professionalism, diplomacy, and respect in all interactions.

Experience/Education: Bachelor’s degree or equivalent experience in academic administration.
