Job Description
Objective
A critical position in the Americas Training Department’s ability to deliver a successful service, the incumbent will collaborate with a complex breadth of domestic and global stakeholders internally and will have regular contact with our customers. The role holder will be an important point of contact, responsible for facilitating training delivery across the Americas.
The Sr. Training Operations Specialist is expected to play an active role in the Americas Training Operations Pillar, assisting Operations management as needed. Will be responsible for mentoring our team of Operations Specialists, advocating for best practices, and seeking continuous improvement. Potential for future management role.
Responsibilities
Job duties to include but are not limited to;
- Schedule instructor led and online courses for both internal and external customers; maintain associated training service orders, records, and reports.
- Act as a lead in the proper maintenance of all soft and hard copy training records housed outside of the Learning Management System (LMS); lead coordinate shipment of Iron Mountain records
- Provide support to the LMS Administrator in managing learner profiles, course enrollments, grades, and certificates within the LMS.
- Represent the department in meetings with various internal and external stakeholders
- Serve as a point of contact for complex training queries and non-standard requests, providing guidance and support to the Americas and Global Operations Teams.
- Manage the majority of training program (complex) orders and other VIP training accounts; support Training Operations Specialists with standard training orders where needed
- Create vendor purchase orders; review vendor invoices for accuracy and process them through the point of goods receipt; correspond with AP to ensure payment
- Attend training opportunity kick-off meetings; support Operations management in collecting tender/RFP requirements and responding to the opportunity, which may include but not be limited to quotations, logistics and training plans
- Provide quotes to aftermarket training customers; work with order entry team to process aftermarket training orders; support internal sales team with training quotes and sale approvals where needed
- Supports Department management with key functions which are critical to operational and financial success; performance critically impacts the Department’s ability to meet revenue goals
- Support in the creation and maintenance of all Training Department policies; champion the information flow for process improvement and quality information; aid in the creation of process maps and other pertinent aids to define new or existing processes and policies
- Oversee department purchase card, which includes ownership of ordering non-PO supplies and other items as required
- Manage inventory of service tokens, office and classroom supplies for the department; order items on a quarterly or as needed basis; act as department liaison with supply chain and parts shortage personnel to ensure successful delivery of internal parts and consumable requests
- Comply with all applicable global and regional export control and security regulations; submit appropriate visitor, border entry, and visa paperwork

Qualifications
Education: Associate’s degree or equivalent required; bachelor’s degree preferred
Experience: Preferred two (2) years working within a training department or organization
Additional Qualifications:
- Experience leading and influencing the performance of others for success; interest in managing people
- Possess exceptional organizational skills that lead to efficient planning and execution of deliverables
