Position Summary
As the Clinician Recruitment Coordinator, you are the operational engine of the recruitment team. You ensure the entire hiring process runs smoothly, efficiently, and with perfect data integrity. Your impact is felt through flawless coordination, an exceptional candidate experience, and the critical reporting and analytics you provide.
While not a direct sourcing role, your elevated understanding of the clinician recruitment lifecycle allows you to identify bottlenecks, improve workflows, and provide the data-driven insights that empower our Sourcers and Recruiters to succeed. You will be instrumental in managing our high-volume workflow and enabling the team to make smarter, faster hiring decisions.
Roles and Responsibilities
- Data & Analytics:
Take ownership of data integrity within the Applicant Tracking System (ATS), performing regular audits and ensuring all information is accurate and up-to-date.
Generate and distribute weekly and quarterly recruitment reports on key performance indicators (KPIs) such as time-to-fill, source effectiveness, pipeline velocity, and diversity metrics.
Analyze recruitment data to identify trends, highlight potential challenges, and provide actionable insights to recruitment leadership.
- Process & Systems Management:
Serve as the team's subject matter expert on the ATS/CRM, training new team members and troubleshooting issues.
Manage the intake process for new job requisitions, ensuring all necessary information is captured before assigning them to the appropriate recruiter in the ATS.
Conduct daily reviews of all inbound lead channels (e.g., website applications, job board responses, conference leads), ensuring timely and accurate assignment to the correct Sourcer or Recruiter.
Perform daily quality assurance checks within the ATS/CRM to monitor candidate progression, ensure compliance with internal processes, and flag stalled candidates or data inconsistencies for team follow-up.
Operationally manage the "chase list" of our 1099 network by uploading contacts, tracking outreach metrics, and reporting on campaign performance.
Assist in posting and managing job advertisements across various job boards and professional networks as needed.
- Team & Project Support:
Partner with Recruiters and Sourcers to ensure smooth candidate progression through the hiring funnel, proactively identifying and resolving delays.
Provide logistical support for virtual and in-person career fairs and conferences.
Contribute to process improvement projects by leveraging your deep understanding of our workflows and data.
Basics Qualifications
2+ years of experience as a Recruitment Coordinator, HR Assistant, Sales Coordinator, or similar high-volume administrative or operational role
Strong proficiency with Microsoft Excel (v-lookups, pivot tables, charts) is required.
Advanced proficiency with an Applicant Tracking System (ATS) or CRM (e.g., Workday, Salesforce, iCIMS), with a proven ability to maintain data integrity.
Exceptional organizational and time-management skills, with a demonstrated ability to manage a high volume of competing priorities without sacrificing quality
A deep understanding of the full recruitment lifecycle and an appreciation for how operational efficiency and data accuracy drive overall team success
Excellent written and verbal communication skills, with a customer-service orientation and the ability to interact professionally with clinical candidates and senior leaders
Preferred Qualifications
Experience in a healthcare or clinical setting is highly preferred
Experience with data visualization tools (e.g., Tableau, Google Data Studio, PowerBI) is a major plus
An analytical mindset and a genuine interest in using data to tell a story; you don't just pull reports, you understand what they mean
