Overview:
Performs professional supervisory work in planning, organizing, directing and coordinating the Logistics Division with respect to the transportation and storage of items for the Office of Secretary of State; plans, organizes, directs and coordinates division using discretion and independent judgment relative to subordinate personnel; plans, directs, supervises, evaluates and reviews the activities of a paraprofessional staff engaged in timekeeping and other clerical duties; serves as the liaison with the various departments in the transportation of mail, packages, furniture and other items to various department locations throughout the State of Illinois; serves as a liaison between administrators and supervisors as well as between the Director and other staff.
Duties and Responsibilities:
- Serves as the manager of the Logistic Division overseeing assignments for pony runs, distribution of items outside normal pony runs, including distribution of packages, supplies and equipment to work locations of the Secretary of State’s office. Manages the storage and tracking of all supplies and equipment at the Physical Services warehouse and works with staff on distribution.
- Supervises staff assigned to this division and makes sure all policies, procedures and rules are followed; in consultation with the Deputy Director and Director establishes and implements operational procedures and workflow; exercises responsibility for assignment of daily work tasks; recommends personnel actions affecting subordinate staff; establishes work standards and evaluates employee performance; handles first level grievance meetings and responses; maintains confidential paperwork and documentation with respect to personnel staff.
- Acts as liaison between various departments as to the division as well as between the Director, Deputy Director and other staff personnel, as to operations of the division. Confers with other supervisory, management and administrative staff to coordinate program or staff functions with affected operational areas and to resolve administrative problems.
- Performs other duties as required or assigned.
- Requires extensive knowledge of the principles and practices of public and business administration.
- Requires thorough knowledge of the functions and organization of State government.
- Requires working knowledge of the principles of business accounting, program budgeting, personnel management and statistics.
