About the role

As a Senior Finance Operations Specialist, you will be responsible for overseeing financial processes, ensuring compliance with Polish and international regulations, and supporting financial operations within the organization. You will work closely with finance teams in the UK, US, and Germany, as well as external partners, to manage financial transactions, tax compliance, and reporting.

This role is critical to ensuring the accuracy, efficiency, and regulatory adherence of our financial activities in Poland.

What will you be doing?

Financial Operations & Transactions

• Input purchase invoices and business trip expenses into our group accounting system, Net Suite.
• Process payments for purchase invoices, taxes (CIT), multi-currency transactions (EUR, GBP, USD), and intercompany invoices.
• Oversee accounting and settlements for employee business trips.
• Generate bank statements and financial documents for reconciliation.
• Collaborate with banks, including ordering and managing employee credit cards.
• Conduct office equipment inventories and manage company assets.
• Partner with finance teams in the UK, US, and DE to ensure smooth financial operations.
• Liaise with external accounting and tax advisory firms (e.g., Roedl & Partner) for financial clarifications and compliance matters.

Financial Systems & Compliance

• Act as the system administrator for Concur, our employee expense reimbursement system, verifying and approving reports and expenses in line with company policy. 
• Support with implementation and testing of new financial systems or process implemented by the group.
• Approve purchase invoices related to Facilities, Corporate, and company vehicles.
• Train new employees to use financial systems for approving company expenses and supplier bills. 
• Support annual budget preparation for Poland.

Regulatory & Tax Compliance

• Work with external tax advisors to submit reports (e.g., KOBiZE) and maintain tax compliance.
• Support transfer pricing documentation preparation and tax compliance coordination.
• Coordinate R&D tax relief applications with PwC and internal stakeholders.
• Manage tax office relations regarding regulatory matters, including R&D documentation.
• Ensure full compliance with Polish tax authorities in audits and reporting obligations.
• Obtain certificates of residence for German customers (annual requirement for invoicing).
• Implement new financial processes and procedures in Poland (e.g., KSeF, BDO).

What are we looking for?

• Bachelor's degree in Finance, Accounting, or a related field.
• 5+ years of experience in financial operations, accounting, or a similar role.
• Strong knowledge of Polish financial regulations, tax compliance, and reporting requirements.
• Ability to collaborate with international finance teams and external auditors.
• Fluent in Polish and English (written and spoken).

• Experience working with financial software (NetSuite, Concur, or similar ERP systems).
