Job Description
The Public Engagement Specialist supports Oxfam America’s Public Engagement (PE) division work to build the Oxfam brand, help achieve policy and program impact, and build the fundraising pipeline. The PE Specialist will provide support to the PE Leadership Team, coordinate cross-departmental projects, support PE collaboration, provide budgetary support to ensure the maintenance of a healthy budget.
PRIMARY RESPONSIBILITIES:
• Collaborate with the Strategic Communications Manager, Vice President of Public Engagement, and other members of the Public Engagement Leadership Team to provide the highest level of efficient and effective support to the PE division
• Provide scheduling and logistics support for PE divisional and cross-divisional meetings, PE Board Committee meetings and PE Leadership Team, including helping to shape agendas and partnering with TIM to ensure availability of meeting technology
• Ensure timely and accurate processing of expense reports for Public Engagement Leadership Team
• Process in line with finance deadlines all Digital marketing team vendor invoices including for digital strategy consultant, social media platforms, social media listening tool, and any other consultants as contracted
• Support PE budgetary management with goal of reducing year-end variance, track the budget and expenses for the Vice President of Public Engagement, log invoices, expense reports and incoming payment requests
• Support the PE leadership team with writing, processing, and executing contracts for the PE division and for photographers and videographers hired across divisions, ensuring compliance with PCHR and finance team protocols such as background checks and safeguarding review.
• Travel logistics: Liaise with travel vendor to coordinate travel, and lodging for VP PE and, other staff as assigned. Process travel invoices and visas for VP PE and other staff as assigned.
• Maintain and edit public facing “Thought Leaders” page on the Oxfam America website, working with division representatives across the organization to ensure webpage is accurate and reflective of current thought leadership at Oxfam America
• Review and maintain the integrity of confidential information including but not limited to
correspondence and personnel matters (status, reviews, medical or personal information).

Qualifications
• Bachelor’s Degree in Liberal Arts or equivalent combination of education, experience, and
training.
• Four or more years’ experience supporting diverse, cross-functional management team.
• Strong experience working with Microsoft Office applications; including Outlook, Word, Excel and PowerPoint.
• Excellent inter-personal skills.
• Demonstrated ability to effectively organize, prioritize work and handle multiple demands at one time in a high-pressure, fast-paced environment.
• Able to anticipate, coordinate and facilitate activities with others at all levels of the organization
• Excellent organizational skills and attention to detail.
• Comfort operating in a multi-cultural, international environment.
• Demonstrated ability to effectively organize, prioritize work and handle multiple demands at one time in a high-pressure, fast-paced environment.
• Ability to work independently, as well as part of a team, and to be pro-active.
Additional Information
Non-Exempt /Non-Union /BAND E
This is a 6 month temporary position. The hourly rate is up to $34.00 an hour.
