About the role

Impact and Importance:

The CRM Support Specialist ensures that HubSpot remains a reliable backbone for day-to-day operations, enabling teams to work efficiently and access accurate data for decision-making. This role bridges the gap between technology and business needs, ensuring smooth processes across sales, service, and administrative functions.

What you will do:

HubSpot CRM Data Management

  • Maintain accurate, consistent, and clean CRM data by performing regular data hygiene tasks (e.g., deduplication, validation, field audits)
  • Support data migrations, imports, and exports during acquisitions or restructuring
  • Monitor and resolve data-related errors (e.g., integration sync failures, duplicate records)
  • Manage property creation and updates to support business operations

User Management & Access Control

  • Onboard and offboard users by managing permissions, roles, and teams
  • Provide training sessions or quick-reference guides for new team members
  • Troubleshoot login, SSO, or access-related issues
  • Ensure user accounts are aligned with compliance and company policies 

HubSpot Help Desk & Troubleshooting

  • Serve as the first line of support for CRM-related issues, including ticketing and help desk communications
  • Troubleshoot contact, deal, and pipeline discrepancies
  • Configure and optimize desk views, ticket pipelines, and automation rules
  • Escalate complex technical issues to HubSpot Support when needed

Pipeline & Workflow Support

  • Create and manage pipelines for sales, service, or operational needs
  • Support teams in designing workflows that automate internal processes (excluding marketing automations)
  • Troubleshoot workflow errors, triggers, and delays affecting business operations

Communication Channels & Integrations

  • Configure shared inboxes, chatbots, and connected communication tools within HubSpot
  • Monitor and maintain integrations (e.g., Google Workspace, Outlook, Slack, or third-party apps)
  • Identify and resolve sync errors between HubSpot and external systems (ERP, scheduling tools, etc.) 

Reporting & Insights

  • Build dashboards for sales, service, and operational reporting
  • Track help desk volume, resolution times, and recurring issues for continuous improvement
  • Provide insights to management on data gaps, user adoption, and process inefficiencies

Documentation & SOP Development

  • Create and maintain Standard Operating Procedures (SOPs) for CRM use, including troubleshooting guides
  • Document key configurations, property structures, and integration setups
  • Serve as an internal resource for CRM-related process documentation

What we are looking for:

  • Hands-on experience with HubSpot CRM (Sales or Service Hub preferred)
  • Strong attention to detail and data accuracy
  • Excellent problem-solving and communication skills
  • Ability to train and assist cross-departmental teams

Preferred:

  • Familiarity with integration platforms (e.g., Zapier, Make)
  • Prior experience with CRM migrations or restructures
  • Knowledge of permission hierarchies and data governance practices
  • Experience with analytics or reporting tools
