About the Role:
Join our dynamic construction management team as an Administrative Assistant, where you will play a crucial role in supporting the efficient and smooth operation of our projects. This position is ideal for a detail-oriented and organized professional who thrives in a fast-paced construction environment. As an Administrative Assistant, you will be responsible for providing administrative support to our construction management team, ensuring seamless communication, and contributing to the overall success of our projects.
What you'll Do:
Office Management:
· Maintain a well-organized and efficient office environment.
· Manage office supplies, equipment, and coordinate maintenance when necessary.
· Handle incoming calls, emails, and correspondence promptly and professionally.
Project Documentation:
· Assist in the preparation and distribution of project documentation, reports, and presentations.
· Organize and maintain project files, ensuring easy access for the construction management team.
· Prepare meeting agendas and take minutes during project meetings.
Communication:
· Facilitate communication between project stakeholders, team members, and external partners.
· Act as a liaison between the construction management team and various departments.
· Handle inquiries and requests, providing information and assistance as needed.
Scheduling and Coordination:
· Coordinate meetings, appointments, and travel arrangements for construction management personnel.
· Schedule and organize site visits, ensuring appropriate documentation is prepared.
· Assist in coordinating project-related events and activities.
Data Entry and Record Keeping:
· Enter and update project data in relevant databases and systems.
· Maintain accurate records of project expenses, receipts, and invoices.
· Assist in the preparation of financial reports as needed.
Support for Construction Managers:
· Provide administrative support to construction managers in day-to-day tasks.
· Assist in the preparation of project proposals, contracts, and change orders.
· Handle other duties as assigned to support the efficient functioning of the construction management team.
What You'll Bring:
· Proven experience as an administrative assistant, preferably in a construction or project management environment.
· Strong organizational and time management skills with attention to detail.
· Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
· Excellent communication and interpersonal skills.
· Ability to multitask and work effectively in a fast-paced environment.
· Familiarity with construction terminology and processes is a plus.
· High school diploma or equivalent required.
· Additional certification in office management or related field is an advantage.
