Position Summary

The Operations & Facilities Management Department at Washington University School of Medicine is committed to delivering a comprehensive range of services to support the medical campus.

We oversee maintenance and operations for 65 buildings, covering more than 11.1 million gross square feet of space. This includes the 11-story, 609,000-square-foot neuroscience research building, which houses one of the world’s highest concentrations of neuroscientists. Our responsibilities include operational and administrative support, strategic planning, and project management.

Furthermore, as the School of Medicine continues to expand its presence both on and off campus in areas such as teaching, clinical care, and research, our team remains instrumental in ensuring the seamless delivery of clinical care, advancing research initiatives, and facilitating educational endeavors.

The successful candidate will provide strategic, operational, and logistical support within the Neuroscience Research Building (NRB). Responsibilities include coordinating operations and facilities management, managing environmental health and safety protocols, and overseeing equipment inventory, planning, and placement across research spaces. Additionally, the position will spearhead sustainability efforts in collaboration with the university's Green Labs Program, promoting energy-efficient practices and equipment use.

Job Description

Primary Duties & Responsibilities:

Operations and Facilities Coordination

  • Act as the primary liaison between the NRB's administrative team and lab research staff. Oversee equipment plans, inventory databases, and space utilization to ensure efficient operations.

Strategic Equipment Planning

  • Lead the equipment planning and placement efforts for current and future NRB spaces, including approximately 48 new labs on the 4th and 5th floors.
  • Develop and implement a WUSM-wide template for standardized equipment planning to support lab relocations and new lab setups.

Sustainability and Green Labs Management

  • Coordinate with the university’s sustainability office to manage the NRB’s Green Labs Program. Maintain the lab scorecard for sustainability metrics and provide recommendations for energy-efficient equipment options and protocols where applicable.

Project Management and Data Analytics

  • Utilize Microsoft Office Suite to create and distribute infographics, reports, and presentations.
  • Use Bluebeam Revu and Adobe Acrobat for plan markup and collaborative planning.
  • Ensure accurate, up-to-date equipment functionality and placement records, including tailored dashboards to support research alignment and strategic recruiting efforts.

Stakeholder Communication and Collaboration

  • Engage regularly with lab staff, focus groups, OFMD planning and activation teams, department heads, and executive leadership to communicate facility needs, align on sustainability initiatives, and manage research space strategies.
  • Provide guidance to the environmental health and safety department, highlighting where lab environments may not meet established safety standards.

Supplementary Duties and Responsibilities

  • Administrative support, including coordination with vendors, contractors, and event planning as needed.
  • Work with executive leadership to establish operations and management guidelines and standards for the Cortex District (Cortex 1, 4444 Forest Park Parkway, 4240 Duncan Ave).
