About the role
The General Manager Administrative Assistant (GMA) will support Reverse Logistics Distributed Network’s Multi-Site Leader (MSL) and other leaders in the MSL’s geographic region. The successful candidate will be highly organized, extremely detail-oriented, self-motivated, able to handle confidential information, as well as able to respond effectively to changing workloads and priorities. Must have the ability to communicate well and to manage multiple assignments and people simultaneously.
Key responsibilities include:
• Maintaining schedules, planning events, coordinating meetings, site visits, and conferences for Leadership and Site Teams.
• Conducting clerical duties, including ordering office supplies, responding to emails, preparing documents (e.g., org charts, presentations using graphics and spreadsheets), creating/maintaining internal information and site(s) webpage platforms
• Managing complex calendars and scheduling with diplomacy and discretion
• Managing and completing expense reports for MSL, Senior Leader(s), if applicable, and yourself as needed.
• Scheduling cost-effective travel arrangements which include: airfare/hotel/ground transportation for the MSL , Senior Leader(s), and yourself, as needed
• Recording meeting notes, creating conference agendas and minor content curriculum
• Assisting with internal communications for associates and leadership across multiple platforms, interfaces, and programs
• Running work-related errands as needed
• Thinking and planning ahead, delegating responsibilities appropriately, tracking team goals, helping drive completion of key deliverables, and following up on outstanding items.
• Working effectively with support partners who are remote (i.e., PxT, WHS, Finance) and interfacing with Sort Center site GMAs and Regional Executive Assistants, as applicable, to coordinate site activities (e.g., events)
• Serving as a representative on department team-building activities and peer recognition
• Traveling within the designated region to various sites, as deemed appropriate by leaders, with varying frequency, but projected once per quarter.

Key job responsibilities
• Proficiency with the Microsoft Office Suite (Excel, Word, Outlook, PowerPoint)
• 2+ years administrative support experience at an executive level
• Ability to create graphs and spreadsheets in MS Office products. Ability to work a flexible schedule (Monday-Friday) and overtime as needed
• Ability to communicate effectively with a variety of constituent groups such as senior management, peers, and outside contacts
• Ability to work in a virtual, remote environment
• Ability to travel within designated region
