Boys & Girls Clubs of Southwest Washington is hiring an Assistant Club Director for Operations at our Heights Clubhouse.

DEPARTMENT: Youth & Family Services
REPORTS TO: Club Director
CLASSIFICATION: Hourly Non-Exempt, Full-time
ESSENTIAL FUNCTIONS:
While under the direct supervision of the Club Director and working collaboratively with the Assistant Club Director for Programs, the Assistant Club Director for Operations is part of the club management team and is expected to provide leadership and make sound decisions on a day-to-day basis.
LEADERSHIP + MANAGEMENT = ACCOUNTABILITY
- Supervise staff with ongoing feedback and performance reviews to identify and support opportunities for professional development.
- Provide and receive open and honest feedback, reflect on it, and follow up to clarify when needed.
- Understand and implement organizational policies, procedures, and goals
- Manage program and activity expenditures within the approved budget
- Support the Club Director in building a strong team that can provide outstanding services to young people every day.
- Support the planning of team meetings and facilitate sections of the agenda.
- Support weekend and evening programming, including scheduling and on-call support
- Demonstrate leadership in the management of the facility and grounds to represent a quality program and organization.
MEMBERSHIP
- Oversee the Club’s member management system to ensure quality data is entered and reported, and that financial procedures are followed consistently.
- Maintain a productive lobby environment for the Membership Specialist and monitor the front of the building, especially during peak drop-off and pick-up times, to ensure the safety of all youth and visitors and good relations with neighbors.
- Oversee membership fee collection in collaboration with the Membership Specialist.
- Greet visitors, answer phones, and run the lobby area during the day until the Membership Specialist arrives.
- Host new Parent/Member Orientations in collaboration with the Assistant Club Director of Programs and the Membership Specialist.
- Ensure the Club adheres to organizational expectations for operating procedures, safe ratios, etc.
- Recruit members and encourage participation in Club programs
- Ensure the Club is meeting the organization’s membership and attendance goals
SNACK AND LUNCH PROGRAM
- Act as the primary staff contact and liaison for the USDA Food Program, including training and tracking snack and summer lunch counts, inventory, and orders.
- Promote meal service programs to staff, youth, families, and the community
- Oversee record-keeping for meal programs
- Inspect and maintain food service equipment
- Coordinate weekly orders and manage inventory for the Club
SCHOOL & COMMUNITY PARTNERSHIPS
- Communicate and collaborate frequently with teachers, building operators, principals, counselors, and family community resource coordinators.
- Identify and create engagement opportunities with school partners within Clubs or in Schools
- Support the Club Director with planning and implementing family events.
- Support the Club Director in developing and implementing facility use agreements and Memoranda of Understanding (MOUs) for the Club, including, but not limited to, rentals and partnerships that share space.
VOLUNTEER ENGAGEMENT
- Lead and engage volunteers when on-site
- Implement a Reading Buddies program within the Club
- Collaborate with Human Resources to recruit volunteers
DAILY CLUB DUTIES
- Conduct daily walk-throughs and maintenance assessments of the facilities to ensure the Club’s maintenance, safety, and cleanliness standards are met.
