    Job Description

    The Encore Boston Harbor Coordinator – Catering & Convention Services is responsible for performing administrative and office support activities for the Catering and Convention Services department. This position will be responsible for event coordination and ensuring communication and coordination between Resort operating departments. .  The coordinator will serve as a supporting role for department management and Resort clients during the sales process, event planning and execution. Strong computer and application skills, professional verbal and written communication skills, and attention to detail are required.  Responsibilities include, but are not limited to: maintaining processes, scheduling, and supporting department team members and maximizing opportunities for departmental success; maintaining all Encore Boston Harbor Standards; and ensuring excellent guest and team member experience. 

     

    JOB RESPONSIBILITIES:  

    • Adheres to all Encore Boston Harbor core values and property and department standards.  
    • Actively contributes to the departmental performance, and the accuracy, confidentiality, and thoroughness of departmental policies and procedures; records and reports.
    • Adheres to all internal policies, federal and state laws, rules, regulations and controls property wide.
    • Delivers and maintains a maximum level of property-wide service and satisfaction. 
    • Contributes to company-wide communication and best practices.
    • Keeps informed of all new developments within the department.
    • Effectively manages internal and external guest relations, which may require levels of patience, tact and diplomacy.
    • Balances multiple priorities simultaneously and meets deadlines, often in stressful and high-pressure situations.
    • Must have the ability to promote positive, fair, and ethical relations with all team members, with all Encore contractors, and in all interactions within the Host and Surrounding Communities, as an ambassador of the Encore brand.
    • Support Catering and Convention Services departments by assisting in the coordination of group events, and communication with Resort operating departments to ensure effective communication and delivery of events.  Daily tasks Include, but are not limited to, creating banquet event orders, convention group resumes and rooming lists and site inspection coordination and maintaining office
    • Coordinate delivery and pick up of goods and services required for events.
    • Coordinate with outside vendors as necessary.
    • Respond to client needs during sales and planning processes.
    • Respond to and serve as a point of contact for clients during events.
    • Be well versed on Delphi sales application, ability to enter group details and create BEOs and appropriate documents necessary to complete all group details
    • Produce services and catering reports covering key catering and services metrics. 
    • Assist management with logistics reports and “run of show” documents to ensure efficient services and catering event delivery.
    • Works with safety as a priority, and follows department and company safety standards.
    • Maintains relevant knowledge of industry through continuing education and training.
    • Performs any other job-related duties as assigned.

    Age, Gaming and Certifications:

    21 years of age or above.

    Will be required to obtain and maintain registration or a license issued by the Massachusetts Gaming Commission.

    Education and/or Experience: 

    High school or equivalent degree required.  Bachelor’s Degree in a related field or equivalent experience preferred.
