Job Description:

The Operations Assistant will perform various tasks related to the operational functions throughout the Department of Pediatrics. Duties will include but are not limited to scanning assets, entering surplus pickups and assets disposals, entering new assets, transferring assets, putting new decals on both capital and attractable items, running reports for assets, mail room services, and space allocation tracking.

Responsibilities include:

  • Process onboarding new assets to the appropriate inventory tracking systems and submitting updates for the asset’s documentation lifecycle.  This includes submitting transfer, surplus, and disposal requests.  Initiating and assisting with Pediatrics Lost/Stolen Asset Investigation reports.
  • Pick up mail and packages from the HSC mail room and loading dock daily and dispense received mail to internal mailboxes for personnel as appropriate. Serve as liaison with the UF mail services and HSC loading dock for any mail or package questions or issues.  Responsible for delivering packages to appropriate area(s) once daily and ensuring timely delivery of packages such as cold packages or medicines immediately.
  • Process new employee equipment assignment updates and terminating user equipment return procedures.
  • Scanning assets for location changes and annual inventory projects.
  • Participate in the annual UF space audit and regular space assignment updates.
  • Perform other duties that the direct supervisor may assign.
Expected Salary:

$18.50 per hour

Minimum Requirements:

A high school diploma or equivalent and five years of appropriate experience. Appropriate college course work or vocational/technical training may substitute at an equivalent rate for the required experience.

  • Ability to operate a computer.
  • Ability to operate a scanner.
  • Excellent verbal and written communication skills
  • Working knowledge of MS Office products (Outlook, Word, Excel, OneNote, PowerPoint)
  • Must be able to independently plan, organize, and coordinate own responsibilities toward meeting the department's goals.
