Job Description

HR Operations Center Specialist - Part-time (28 hrs per week)

The Human Resource Operations Center Specialist will serve as first point of contact for and provide direct support to employees and management (from campus areas utilizing the unified partner model) by assisting in person, electronically, or by phone with I-9 transactions, services, and inquiries. The HR Operations Specialist (I-9 / SSN Compliance) ensures that all employment eligibility, identity, and Social Security Number (SSN) verifications are performed accurately, timely, and in full compliance with federal and state regulations. This role manages the Form I-9 process, SSN validation, and related compliance reporting, while maintaining data integrity across HR systems. You will partner closely with recruiting, onboarding, payroll, and compliance teams to support a smooth, compliant employee experience. 

What you will be doing in this position:

Employment Eligibility & I-9 Compliance 

  • Manage the full lifecycle of Form I-9: ensure accurate and timely completion of Section 1 and Section 2 for new hires, reverifications, and retention/disposal of records. 
  • Conduct regular internal audits of I-9 documentation to ensure compliance with the Immigration and Nationality Act (INA) and the Immigration Reform and Control Act (IRCA). 
  • Serve as primary point-of-contact for internal and external I-9 audits, responding to audit findings and implementing corrective action plans. 
  • Coordinate with talent acquisition and onboarding teams to ensure all employment verification steps (I-9 and SSN validation) are completed within regulatory timelines. 
  • Maintain electronic I-9 and E-Verify systems, ensuring all data and document uploads are accurate and secure. 

SSN Validation & Reporting 

  • Perform Social Security Number validation for all new hires, rehires, and employees undergoing data corrections, using SSA Verification Service (EVS) or other approved tools. 
  • Investigate and resolve SSN mismatches or validation errors in coordination with payroll, HRIS, and compliance teams. 
  • Generate and analyze SSN verification reports to for validating errors 
  • Partner with payroll to ensure accurate SSN data for W-2 reporting, tax filings, and year-end processes. 
  • Maintain confidentiality and ensure secure storage of SSN data in accordance with company policy and data-privacy regulations. 
  • Create and maintain monthly and quarterly compliance reports summarizing I-9 status, SSN validation results, and outstanding exceptions 

Work with Dept Assistant on Student Employee of the Year (SEOTY) Committee 

  • Manage committee to oversee, plan, execute, and advertise SEOTY throughout all of BYU. 
  • Student Appreciation Week – work with departments across campus to celebrate and honor student employees. 
  • Manage nominations based on university, regional, and national standards. 
  • Coordinate with regional and national SEOTY representatives for annual student winner and 2-3 runners up. 
  • Coordinate and manage awards and associated ceremony. 

What qualifies you for this role:

Required

  • A firm commitment to the mission of BYU.
  • Two years of office experience.
  • Proficient in Microsoft Office Suite or related software.
  • Ability to work in stressful environment and deal with difficult people, help diffuse emotional situations.

Preferred

  • Two years of HR experience.
  • Experience with I-9 and I-9 compliance
  • Excellent verbal and written communication skills.
  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact,
