About the role

As a Real Estate and Facilities (RE&F) Co-working Space Coordinator/Space Planner you will work with a collaborative group of innovative and diverse individuals. In this role, we are seeking a real-estate space planning professional who is experienced, committed to collaboration and outstanding customer service to coordinate and provide functional workplace environments. You will interact with senior leaders, colleagues and others, while using sophisticated technology from the leader in cloud services.

Responsibilities include but are not limited to:

  • Primary contact for co-working office space, coordinating work with landlords, lines of business (LOB) leaders/representatives, internal departments and other vendors.
  • Coordinate all communication with LOB leadership related to co-working space requests and changes.
  • Coordinate with RE&F Transaction Management team to execute lease agreements and funding approvals.
  • Manage the corporate inbox and emails related to all co-working space. 
  • Interface with RE&F Planning, Transaction Management, Lease Administration and outsourced contractor to negotiate co-working agreements. 
  • Confirm the terms of agreement and approvals with LOB and RE&F leadership prior to finalizing and committing to a co-working lease.
  • Coordinate with Lease Administration on landlord or payment requests and issues. Monitor financials to ensure we stay within budget and provide timely and accurate payment to vendors.
  • Manage, maintain and update the co-working report that includes all relevant details for each lease. 
  • Review and document co-working lease expiration dates to identify critical action dates. Report to Planning leadership. 
  • Review and update corporate software system to ensure that space allocations and financials are accurate and verify that the business is being charged appropriately for space.
  • Monthly review of real-estate portfolio to reduce excess vacancy from portfolio, review sites within lease renewal windows or early termination options.
  • Review, propose and suggest cost effective and efficient space solutions that align with employee utilization or changing business requirements.
  • Review and analyze space allocations for accuracy, special requirements and/or space growth, reduction, or consolidation opportunities across the portfolio. Apply appropriate data to support business changes.
  • Monitor real-estate portfolio to enable the team to meet target metrics and initiatives set for the fiscal year.
  • Perform other responsibilities, as needed, on the RE&F Planning team.

US: Hiring Range: from $79,000 to $158,200 per annum. May be eligible for bonus and equity.

Oracle maintains broad salary ranges for its roles in order to account for variations in knowledge, skills, experience, market conditions and locations, as well as reflect Oracle’s differing products, industries and lines of business.
Candidates are typically placed into the range based on the preceding factors as well as internal peer equity.
