The University of Louisville is seeking to hire an Events Specialist III in the department of Philanthropy & Alumni Engagement (PAE). The Events Specialist III for UofL Health will oversee efforts for fundraising and engagement events for UofL Health, and work to build a comprehensive philanthropic events program for the UofL Health system. This includes event coordination, vendor engagement and solicitation, and other related special events activities. They will work with a team of fundraisers and related staff, UofL Health leadership and members of the board of the UofL Health Foundation. They will work with minimal supervision and are responsible for planning, researching, problem solving and performing special projects as assigned. They must be able to function independently, organize, prioritize, work well under pressure, and deal effectively with all levels within and outside of the organization. They will coordinate fundraising events (including associated fundraising activities), cultivation and stewardship events, events connected to special appeals and campaigns, and other ongoing events. This position reports to Assistant Vice President of Philanthropy for UofL Health and works in direct collaboration with the Philanthropy & Alumni Engagement (PAE) events team.
Duties & Responsibilities
Oversee, organize, implement, and coordinate fundraising events and special events to engage donors, staff, patients, and community leaders. Responsible for events management from beginning to end, including guest list generation, disseminating invitations, securing venues, caterers, and other relevant vendors, and post-event attendee follow-up.
Work with volunteers and staff and help secure related support.
Working with vendors and sponsors, secure needed funds to hold events and increase mission support.
Create, coordinate, and/or manage events and special projects aimed at generating philanthropic dollars or cultivating/stewarding donors and donor prospects. Consider ROI (dollars raised and donors cultivated/stewarded) and implement a robust system that tracks engagement and attendance.
Approve and oversee all internal fundraisers organized by UofL Health staff.
Responsible for ensuring system-wide understanding and compliance with the Philanthropic Activities & Events Policies and Procedures
Create a system-wide third-party fundraising program. Provide guidance, support, and presence at associated events. Work to engage third-party fundraiser volunteers in our annual day of giving efforts.
Draft and deploy event announcements and invitations, monitor event registration and related communication, and conduct post-event follow-up, including event recaps and surveys.
Steward past donors with ongoing engagement opportunities – particularly through events and other special projects – that will build affinity for ULH.
Work with ULH and ULF finance officers to ensure timely use and disbursement of funds and reporting. Maintain budgets of fund usages.
Build and manage a portfolio of vendors and other potential event sponsors.
Refer and identify prospects to, and work collaboratively with, colleagues.
Coordinate with researchers and community members to schedule tours and engage donors.
Performs other duties as assigned.
Occasional nights and weekends will be required to attend events in support of the unit initiatives and/or to complete tasks. Occasional in-state and regional travel may be required.
This is an in-person position.
