GENERAL DESCRIPTION:
The Sr. Financial Assistant will be an integral member of the Department of Student Activities & Student Organizations, Student Life, and Student Center Complex teams. This position will report to the Manager, Business & Financial Operations, with additional responsibilities to the Sr. Director of Student Activities and Student Organizations.
This position requires strong analytical and organizational skills, excellent oral and written communication skills, and a commitment to customer service.
DUTIES AND RESPONSIBILITIES:
- Serve as the main approver of student organization transactions in Workday in accordance with Student Activity Fee Allocation Committee (SAFAC) funding decisions and university policies and procedures.
- Assist with reconciliation of student organization purchases adhering to approved budgets and University guidelines.
- Assist with the preparation and processing of journals, expense reports, purchase requisitions, check requests, etc. in support of student organization activities.
- Serve as the primary contact for the Student Organization Online Payment site, managing the transactions, Workday accounts, reviewing and approving requests, assists with compiling tax reports, and updating the individual student organization reports.
- Assist with the purchasing of goods, services, and travel for student organizations.
- Respond to and resolve transactional and account inquiries from students and advisors in a professional and timely manner.
- Manage the security roles for student organization accounts, adding and removing advisors as necessary.
- Serve as support to the Graduate Activity Fee Allocation Committee (GAFAC) when needed.
- Advise students and advisors on current University of Miami policies and procedures related to finances, disbursements, and accounts payable and provides training on various accounts forms and processes. Including hosting workshops and other public speaking engagements.
- Responsible for accuracy, timeliness and compliance with departmental and university policies and procedures.
KNOWLEDGE, SKILLS AND ABILITIES:
- The Financial Assistant must be able to work in a complex environment with the skills to manage multiple tasks and deadlines, establish priorities, set objectives, and achieve stated goals with an attention to detail.
- Ability to create tables and other forms of Excel data models to reflect inputs and outputs.
- Proficiency in Microsoft applications and accounting systems required including a high level of knowledge with Excel.
- Ability to read and decipher data on source documents to be entered.
- Ability to understand and follow oral and written (including narrative, tabular, and graphical) instructions.
- Ability to maintain the confidentiality of highly sensitive information.
- This position requires excellent customer service, organization, and planning skills.
- Experience working with current University financial systems preferred (Workday).
EDUCATION AND EXPERIENCE:
- Associate’s degree in accounting, business, finance or related field and one year experience required.
- Provides occasional support at university events after business hours.
