As the Research Administration Specialist (Remote – NC Residency Required), you’ll be an integral part of a collaborative, service‑driven team supporting faculty and researchers engaged in diverse, innovative work across the university. Your contributions will help ensure seamless and impactful support across the entire grants management lifecycle.

As part of the Campus Grants Management Team (CGMT) within the Office for Research & Innovation, you’ll join a dedicated group of research administration professionals who deliver high‑quality, cradle‑to‑grave management of sponsored projects for Provost‑area academic units. Working closely with investigators and internal partners, you will help strengthen communication, streamline processes, and promote excellence in grant portfolio management.

 

What You’ll Do:

- Support pre‑ and post‑award research administration activities across assigned portfolios.

- Assist investigators with developing, revising, extending, and reconciling grant budgets.

- Gather and compile proposal information and prepare required elements such as biosketches and other support documentation.

- Enter and maintain data within SPS and confirm awarded budgets within Duke’s financial systems.

- Provide technical and administrative assistance during negotiation, creation, and administration of grants and contracts.

- Monitor proposal and award status, advising investigators on deadlines, reporting requirements, protocol compliance, and just‑in‑time requests.

- Track reporting timelines and help prepare documentation for audits or site visits.

- Reconcile financial information to ensure compliance with sponsor guidelines and Duke policies.

- Facilitate RSSA processes, financial transactions, JVs, and closeout activities.

- Support investigators with human and animal research protocol renewals.

- Assist with special projects and contribute to continuous improvement within CGMT.

 

What You Need to Succeed:

Education & Experience

- Associate’s degree required; equivalent work experience or a related bachelor’s degree may substitute.

- Two years of relevant administrative or research administration experience preferred.

Skills & Competencies

- Ability to work effectively within a team environment.

- Proficient computer skills with strong working knowledge of MS Office Suite (Word, Access, Excel, PowerPoint).

- Strong verbal and written communication skills across all levels of the organization.

- Ability to manage and prioritize multiple tasks and projects simultaneously.

- Ability to create clear verbal and written reports.
