Quality Assurance Team Lead: Drive Quality, Innovation, & EHR Excellence!

 Alternative Wellness Services (AWS) is seeking a highly organized, analytical, and experienced Quality Assurance professional to take on a leadership role within our collaborative QA team. In this pivotal position, you'll have the opportunity to provide general supervision and delegate tasks within our QA team, and you'll play a key role in leading initiatives to optimize our Electronic Health Record (EHR) system and related workflows. Your expertise will be essential in driving efficiency and reducing administrative burden on our providers through effective data management, process optimization, and strong project management. This position is based out of our Biddeford or Portland office. Occasional travel to the other office will be required to provide on-site support, meetings, and training to our providers 


We're looking for a detail-oriented professional who excels at:

  • Data Analysis & Interpretation: Analyzing complex data sets to identify trends, patterns, and areas for improvement, and presenting findings in a clear, concise, and actionable manner to inform decision-making.
  • EHR & Workflow Optimization: Leading initiatives to streamline data flow, automate tasks, and enhance the efficiency and user-friendliness of our EHR system, ultimately reducing administrative burden on providers and improving their experience.
  • Regulatory Compliance & Documentation: Ensuring meticulous adherence to relevant regulations and policies (including Maine Rights of Recipients, grievance processes, licensing, and MaineCare policy), and maintaining accurate, organized, and compliant documentation practices.
  • Project Management: Leading and managing projects related to EHR implementation, upgrades, and process improvements, ensuring timely completion and successful outcomes.
  • Supervision and Delegation: Providing general supervision to the QA team, including delegating tasks and ensuring team members are meeting expectations and deadlines.

What You'll Do:

  • Serve as the QA Lead, providing guidance to the QA team, delegating tasks as appropriate, and acting as a key resource for quality and compliance matters. 
  • You will meet with direct care providers when needed and be an onsite resource and support with training new staff on basics of Golden Thread, tools within the EHR and reference documents. 
  • You will identify when an item needs to be elevated for clinical review by a clinician. 
  • Lead our EHR Committee, collaborating with stakeholders across the agency to identify needs, prioritize enhancements, and oversee the implementation of EHR-related projects.
  • Conduct thorough and organized audits of clinical documentation within our EHR system, verifying accuracy, completeness, and compliance.
  • Implement, update and monitor Standard Operating Procedures (SOPs), process maps,  policies and procedures, and leverage technology to automate tracking and reporting where possible, maintaining organized records of QA activities.
  • Analyze data with a keen eye for detail to identify trends, inefficiencies, and areas for improvement in service delivery and data flow, providing data-driven recommendations for change.
  • Collaborate effectively with team members, including clinical and administrative teams, to develop, implement, and manage quality improvement initiatives, with a strong focus on EHR optimization and streamlined workflows.
  • Maintain a comprehensive and up-to-date understanding of relevant regulations and policies, including Maine Rights of Recipients, grievance and complaint processes, licensing, and MaineCare regulations.
  • Document, track, and prepare for grievances in a systematic and organized manner, ensuring timely and accurate record-keeping and reporting.
  • Provide efficient and organized backup support for Medical Records requests and processing, adhering to established procedures and timelines.

What We're Looking For:

  • A degree in social work or a related field (or equivalent experience).
  • 3-5 years of direct experience in the behavioral health field.
  • MHRT-C certification (preferred).
  • Strong understanding of clinical processes, medical terminology, and DSM-5 diagnosis.
  • Proficiency in electronic medical records, Google Workspace, and MS Office applications.
  • A passion for data analysis and leveraging technology to improve workflows.
  • Proven experience in identifying and implementing EHR enhancements and workflow optimizations.
