The Executive Assistant to the Vice President (VP) of Finance will work in a fast-paced work environment in Dearborn, Michigan. This role requires an individual who is resilient, flexible, and maintains a positive attitude when changes arise. We are seeking someone who is professional, courteous, and has a high standard for integrity and discretion while handling highly confidential business and personal information. This individual should be self-motivated, proactive, conscientious, and demonstrate excellent time and data management skills to coordinate calendars, email correspondence, and prioritize daily work for themselves and the VP of Finance. They should be able to work autonomously, problem solve independently, and effectively build relationships and collaborate across the global teams to deliver quality results.
This role is hybrid out of Dearborn, MI
What you'll do…
- Act as a representative for the VP with key stakeholders, providing courteous, helpful, and efficient interactions.
- Manage the VP’s calendar and correspondence; resolve scheduling conflicts in a timely manner and proactively prioritize and keep the executive informed of changes.
- Optimize travel arrangements based on the VP’s travel needs and preferences, managing complex itineraries and completing related expense reports.
- Assist the VP with preparing for meetings, including preparing and obtaining materials in advance, distributing them, and keeping the VP on schedule.
- Screen incoming calls and respond to emails as needed.
- Assist with coordinating and managing meetings and events such as staff meetings, all-hands meetings, off-sites, team gatherings, etc.
- Sort, screen, and distribute incoming and outgoing mail.
- Draft, update, and organize information for reports, correspondence, presentations, budgets, etc. Edit documents for accuracy, format, and arrangement of material.
- Assist with special projects as needed.
You'll have…
- A high school diploma or equivalency.
- 3+ years of experience as an executive assistant or project manager.
- 3+ years of Microsoft Suite experience (e.g., Outlook, SharePoint, OneDrive, PowerPoint, Word, and Excel).

- Previous experience as an executive assistant in a large global, matrixed organization.
- Excellent writing, editing, and proofreading skills.
- Strong detail orientation, organizational, and time management skills.
- Ability to adapt daily in a high-paced work environment and maintain a positive attitude.
- A high degree of integrity and the ability to maintain confidentiality of sensitive information.
- Ability to solve problems independently and autonomously.
- Ability to work collaboratively within a team environment, in an open-concept office area.
- Comfort interacting with all levels of the organization.
- Ability to plan, prioritize, and support multiple assignments simultaneously.
