About the role

The Medical Staff Manager position is responsible for managing the staff of all ProHealth Clinics & Labs locations. Ensuring scheduling, employee supervision and training, office management and compliance are aligned to corporate objectives. A successful candidate for this position will be someone with 5 or more years medical office management experience, CCMA certification, and experience in phlebotomy. This position reports to the Owners and focuses on successful day-to-day operations.

Medical Staff Manager:    

  • Supervises, trains and coaches’ staff at clinic (5) and lab (1) locations to ensure excellence in patient and customer care and proper support to the medical provider.  
  • Participate in the recruiting process by interviewing candidates and other actions as needed.   
  • Conducts performance reviews for staff under your supervision.      
  • Manages weekly scheduling of all medical staff.  
  • Participates in the firing process by providing documented failure to perform data to HR, assisting in performance improvement plan write ups, conducting post-employment actions following a dismissal and other actions as requested.   
  • Review and approve PTO requests for scheduling conflicts and provides initial approval/disapproval decision.  
  • Ensures new employees are trained in all aspects of the office and set up in all systems to begin work.  
  • Ensure that employees are trained and equipped to function in their positions and provide excellence in patient care. 
  • Operate as a liaison between the clinic and the corporate office.  
  • Medical Assistant Scheduling: Creation of a weekly schedule to be sent to Bailee and Hazel by noon each Thursday the week before who will review within 24 hours and provide feedback.  Schedule finalized and sent to all Medical Assistant employees by end of day Friday.  If someone is out, it is your responsibility to fill-in if there are no other options.  
  • Call-Out Management: Responsible for receiving and managing all clinical staff call-outs. This includes arranging coverage and filling in at clinic locations when last-minute callouts result in staffing shortages.  
  • Staffing Adjustments Based on Patient Volume: Responsible for monitoring patient volume daily, beginning around 12:00 p.m. Monday - Saturday, by reviewing PracticeFusion. When patient counts are low, staffing levels should be adjusted by releasing staff as appropriate.  Start with non-medical assistant position(s), then part-time medical assistants. 
  • Approve / deny PTO requests per PTO policy and staffing nee

All other duties as assigned.

Supervisory/Work Responsibilities:

·        Responsible for supervising and training assigned office staff.  Approachable nature with administrative and Clinical Staff.

Position Type and Expected Work Hours:

·        Travel to each location is required:  Pace, Milton, Pensacola, Gulf Breeze, Fort Walton Beach and Santa Rosa Beach.

·        This is a part-time position. Days and hours of work are Monday through Friday 7am to 1pm but may require hours outside of these times as business and patient needs dictate. Some Saturdays will be included.

Requirements

Education: 

·        Associates degree is required

 Experience: 

·        Certification/License: CCMA and Phlebotomy Certification.

·        Five years’ experience managing multi-site medical setting strongly preferred

 Work Authorization:

·        Must be US Citizen or otherwise authorized to work in the US.
