The Child Mind Institute is seeking a highly skilled and dependable individual to join our team as an Administrative Coordinator to the Clinical Director. The Administrative Coordinator will work closely with the Clinical Director and colleagues in the Child Mind Institute Headquarters. The Administrative Coordinator will provide exceptional support to the Clinical Director in his clinical and administrative capacities.
Reporting to the Senior Clinical Operations Coordinator, this is an exempt, full-time position located at our NYC headquarters. We offer a competitive salary and benefits.

Responsibilities:
- Effectively and efficiently manage a variety of administrative tasks including: an extremely active calendar; composing and preparing correspondence; arranging complex and detailed travel plans; meeting agenda and minutes; filing, faxing, copying, etc.
- Manage the clinical and administrative calendar for the Clinical Director, ensuring efficiency of clinician time, and schedule appointments in the electronic medical record (EMR) system
- Communicate directly, and on behalf of, the Clinical Director as needed
- Prioritize emails and respond when necessary
- Ensure the Clinical Director is prepared for meetings and presentations
- Organize and prepare for meetings, including gathering documents and attending to logistics of meetings
- Serve as the liaison for patients and their families, their point person, and support them throughout the treatment continuum. Facilitate the flow of phone and email communication between the Clinical Director and his patients and their families
- Prioritize conflicting needs; handle matters expeditiously, proactively, and follow-through on projects to successful completion, often with deadline pressures
- Collect initial patient information, perform intakes, and coordinate evaluations with the appropriate clinician
- Manage high priorities and multi-task in a fast-paced work environment
- Resolve urgent, sensitive, and confidential issues with discretion and integrity, and strictly protect personal health information
- Maintain discretion and confidentiality
- Other duties as assigned
Qualifications:
- Bachelor’s Degree and a minimum of 2-4 years of relevant work experience
- Strong interpersonal, communication, and customer service skills
- Excellent judgment and creative problem-solving skills, including conflict resolution
- Ability to appropriately handle sensitive information with discretion and maintain patient confidentiality
- Professional demeanor and attitude; ability to interface with families as well as senior leadership, clinicians and staff
- Self-starter and team player able to establish and maintain working relationships
- Thorough, accurate, and conscientious about assignments
- Exceptional written, oral communication skills
- Advanced proficiency in Microsoft Suite – Word, Excel, PowerPoint and Outlook required; previous experience with an electronic medical record system preferred
- Positive attitude, energetic, and interested in working in health care
