About the role

 The Asset Recovery Coordinator is a highly visible role, as the incumbent serves as the subject matter expert in collections and asset recovery. Reporting directly to the Operations Manager, this position oversees a curated portfolio of leased and loaned equipment whose primary function is mitigating losses through adherence to robust receivables management strategies. With a focus on proactive outreach, including active calling and scheduled notices, this role addresses past-due balances, asset recovery, and data management. The Asset Recovery Coordinator is instrumental in shaping our organization's financial stability, partner relationships, and organizational strategy.

ESSENTIAL DUTIES & RESPONSIBILITIES:

  • Portfolio Management:
  • Support the Asset Recovery Specialist, Loss Mitigation Specialist and Used Asset Salesman by tracking delinquency and repo status of delinquent assets.
  • Confirm all steps in the process from collections to repossession inclusive of, but not limited to departmental payoff requests, TL to lending institutions payoffs and confirmation of vehicle titles in house.
  • Laisse with the Accounting, Titles, Customer Service and Sales departments as needed.
  • Manage the process of title flipping for Colorado asset titles in Trans Wests inventory. 
  • Supervise and support the purchase order process to insure timely vendor payment.
  • Leverage the asset inspection process, paperwork and follow up.
  • Execute daily collection calls, leverage dunning notices, and schedule delinquent payments on past-due equipment lease agreements.
  • Strategically manage the flow and timely escalation of defaulted accounts having assets warranting repossession.
  • Asset Management:
  •  Manage and oversee organizational collections, reporting tools, and reports, including Off-Lease Inventory, Net Aged Investment, and other pertinent data sets, with a comprehensive and strategic approach to ownership.
  • Supports strategies to minimize net credit losses by maximization of dollars recovered from written-off accounts (outside collection/repossession agency/attorney management).
  • Take ownership of the repossession process by coordinating with repossession agents, vendors, and auction houses to ensure a streamlined and effective asset recovery.
  • Work within the Operations Team to understand and become knowledgeable in all compliance, titling, and insurance to further support the value stream.
  • Reporting and Documentation:
  •  Oversee the creation and distribution of customer-facing communication and recovery-related documentation and all relevant materials pertaining to past-due accounts or repossession proceedings.
  •  Copiously maintains reporting on metrics related to all collections and repossession activities, including customer account conversations (notes), vendor correspondence, and equipment retrieval information.
  •  Support the 3rd party vendors, and the Used Truck Manager (Remarketing Liaison) with condition reports and pictures of our repossessed assets, titles, and all required documentation.
  •  Continuous Improvement:
  • Collaborate closely with all internal and external stakeholders, including Lease Representative, Sales Support, ICS, and title Leads, Senior Leadership, and the Operations Manager to support expedited strategy-aligned organizational outcomes.
  • Identify opportunities to streamline and improve the collections and asset recovery process, implement best practices, and leverage technology where applicable.
  • Stay informed about industry trends, regulation changes, and emerging technologies related to commercial vehicle titles, and share insights with the Team.
  • Conduct audits and reviews of title documents, records, and processes to identify potential issues and ensure compliance.

WORK ENVIRONMENT & PHYSICAL ABILITIES:

  • Requires frequent sitting, standing, balancing, bending or stooping for prolonged periods of time.
  • Requires eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator and other office equipment.
  • Ability to communicate by providing verbal feedback in a professional manner.
  • Ability to receive and analyze data and input into the computer.
  • Ability to lift/push/pull up to 30 lbs.
  • Normal range of hearing and vision.
